How to create and manage gallery templates?

Learn how to save gallery settings as a template to save time when creating future offers for your clients.

Written by Emilia Sowa

Creating gallery templates is a great way to automate your work. You no longer need to enter the same settings, pricing, and options every time – just save them once, and the Mafelo system will do the rest for you. Don't worry, the entire setup is very straightforward and only takes a moment!

Key benefits and use cases

  • Time savings: Instantly create new galleries based on previously prepared settings.

  • Offer consistency: Guarantee that all standard bundles (e.g. mini Christmas sessions, newborn sessions) always have the same parameters.

  • Fewer mistakes: You'll avoid accidentally skipping important configuration details in a new offer.

What exactly does a gallery template save?

A template in Mafelo copies the most important settings of your offer, so you don't have to configure them from scratch. When you save a template, the system will remember the following elements:

  • Basic information: Gallery name.

  • Packages:

    • Package price.

    • Number of photos in the package

    • Price per each additional photo.

    • Print budget.

  • Products and delivery:

    • Print formats.

    • Delivery methods.

    • Products available in the gallery (e.g. albums, photo prints, etc.).

  • Additional options:

    • Enabled option to pay for the gallery via online payments.

    • Enabled option for clients to add comments to photos.

    • Disabled access to photo selection from a chosen date (after this deadline, the client will not be able to order photos or products).

    • Disabled option to place orders for the amount of 0 PLN.

    • Requirement for the client to select prints for every ordered photo.

💡Tip: Remember that a template is just a starting point! After loading a template into a new gallery, the settings saved in it (such as the gallery name, prices, or packages) are not fixed. You have the full freedom to edit and adjust them to the specific job before you finally save the new gallery. These changes will not affect the template itself.

📣Note: A template saves universal offer settings, but intentionally omits unique data, such as the specific assigned client. This information is always filled in anew for each newly created gallery.

How to create a gallery template

  1. Open the gallery that contains the settings you want to save as your new template.

  2. Go to the Details tab.

  3. Click the Save as Template button (you'll find it just above the Move to Archive option).

  4. A window will appear where you need to enter a template name (e.g. "MINI Christmas photo shoot 2026"). Choose a name that will immediately tell you, when creating future galleries, which offer this template applies to.

  5. Click the Save button to complete the process.

💡Tip: When creating the next new gallery, the system will ask you whether you want to use a template. Upon confirmation, Mafelo will automatically load all your saved settings into the new gallery.

How to edit or delete a gallery template

  1. In the left-side menu, click Settings, then select the Gallery Templates tab.

  2. The screen will display a list of all your saved templates.

  3. Click the Actions button next to the selected template.

  4. Select the appropriate option from the list to "Edit Settings" or click Delete if you no longer need that template.

📣Note: Changing the settings in a template or deleting it entirely will not affect in any way the galleries that were already created using it.

Frequently Asked Questions (FAQ)

How does the system use a template when creating a gallery?

When creating a new gallery, the system asks you whether you want to use a saved template. When you agree, all saved settings from the template are automatically loaded into the new gallery creator, which drastically speeds up the process of preparing an offer.

Will deleting a template also delete the gallery associated with it?

No, deleting a gallery template only removes it from the list of available templates in the settings. All galleries and client galleries previously created based on it will remain intact and completely safe.
