How to Share Photos from a Public Gallery with Parents

A guide showing how to easily share a link and password to a public session gallery with your clients.

Written by Emilia Sowa

Public galleries (e.g. school, preschool, or sports event coverage) require efficiently sharing access to photos with many people at once. Instead of sending the gallery to each parent individually, in Mafelo you can use a single shared link and a common password for the entire group. This removes the need for manual distribution from your shoulders and makes your work easier.

Key Benefits and Use Cases

  • Time savings by only dealing with a single person coordinating distribution within the group.

  • Access security, as the entire gallery is protected by a unique, shared password.

  • Fast distribution of photos in preschools, schools, sports camps, or workshops.

How to Share Access to a Public Gallery

To effectively share access to a public gallery with your clients, follow the steps below:

  1. Copy the generated link and password from your public gallery settings.

  2. Pass the copied details directly to the person coordinating the group (this could be, for example, a teacher, class tutor, coach, or parent committee representative).

  3. Ask that person to send a message with the access details to all interested parents (this typically happens via an e-register, a Facebook group, or a group messaging app).

  4. After clicking the shared link and entering the password, parents will gain access to a dedicated website where they can conveniently browse all the photos and independently place an order for the shots they choose.

Important: Public galleries have a different login logic than private galleries. In a public gallery, all clients use exactly the same link and password to access the shared gallery of the entire group's photos.

Note: Always remind parents (or ask the coordinator to do so) that unpaid orders block the ability to download digital files. The system will release the files only after payment has been recorded.

Best Practices and Educational Materials

To make the purchasing process easier for parents and avoid basic technical questions, a good practice is to include short instructions in the message with the password.

You can copy the links to the tutorial videos below and send them to the coordinator along with the gallery link:

Tip: If you want to allow your clients to download digital files directly from the public gallery, see the article: "Sharing photos for download with clients in a public session".
