How to allow a client to add more photos or prints after placing an order?

See how your clients can purchase additional shots and prints for an open or completed session.

Written by Emilia Sowa

Don't worry, this is a very common situation! Clients often decide to add more photos or prints after thinking through their choices. In Mafelo, handling such additional orders is simple and automated, so you don't have to spend time manually calculating costs, and the client can use the same gallery link.

When is this useful?

  • Cart correction: You want to give the client a chance to make changes to an order that hasn't been fulfilled yet.

  • Additional prints: The client forgot to add prints for selected shots in their first order.

  • Gifts for loved ones: The client wants to order additional shots or prints for family members (e.g. grandparents) after already paying for and finalizing their original order.

How to revert an unfulfilled order?

If the client has just placed an order but realized they forgot to add a few prints or photos, the easiest solution is to revert the order back to editing.

  1. Go to the selected gallery in your Mafelo dashboard.

  2. Navigate to the Client Orders tab.

  3. Click the Actions button.

  4. From the dropdown list, select Undo the Order.

💡Tip: This will return the order to the client's cart, and they will be able to freely add or remove products and then send the updated cart back to you.

⚠️Important: If the client has already started the quick online payment process (e.g. HotPay, P24) for this order, reverting it to the cart will deactivate the previously generated payment link.

How can a client add products to a fulfilled order?

If the order has already been paid for and fulfilled, and the gallery is still active, the client can place another order at any time. They have two ways to do this depending on exactly what they need. Note that these steps are performed directly by your client.

Ordering new digital shots and prints

  1. The client opens the link to their private gallery and logs in using their email and password.

  2. They add the selected new photos to the cart.

  3. In the cart, they choose a new shot or selected print formats.

  4. They place and pay for the new order.

📣Note: If the client accidentally adds digital shots to the cart that they already paid for in a previous order, the system is smart enough to skip them in the pricing and will not charge double for them.

Ordering prints only for already purchased photos

  1. The client opens the link to their private gallery and logs in using their email and password.

  2. They click the filter icon in the top right corner of the screen.

  3. They select the Only ordered filter from the list to display already purchased shots.

  4. Directly next to the selected photo, they click Prints, then choose the appropriate formats and number of prints and add them to the cart.

  5. They proceed to the cart and place the order.

⚠️Important: In this scenario, the system will charge the client only for the printing costs (prints), because the system "remembers" that the digital files from this account have already been paid for previously.

Frequently Asked Questions (FAQ)

Do I need to create a new gallery for the client to place a second order?

No, for the client to place a second order, you do not need to create a new gallery or generate a new link. Everything takes place within the original gallery using the same password.

Will the system charge the client twice for the same digital photo?

No, if the client selects a digital photo in their new order that they already purchased previously, the system will automatically recognize this and will not add its value to the new bill.

Why can't the client place an additional order?

For the client to be able to add more shots, the gallery must still be active (it cannot be expired). Make sure in the gallery settings that the gallery's expiry date has not yet passed. It is worth knowing that galleries you have moved to the archive are still visible and fully accessible to clients.
