Inbox settings

The nine sections of Inbox Settings — Organisation, Teams, Bots, Automations, Parsers, Signatures, Notifications, Language and Integrations — what each one does, and where Profile and Operators went.

Inbox Settings holds nine sections. You reach them from Messaging > Inbox Settings in the left menu of the platform. Some are organisation-wide and admin-only, some are yours alone, and this article is the map: what each section is for, and which article covers it in full.

Profile and Operators are not here

If you are looking for your own profile or the list of Operators, they are not in Inbox Settings. Both live under the Settings gear at the bottom of the left menu.

  • Your profile — your name, picture and password, and a read-only view of your role and property access. Only admins can change a role or property access, including their own.

  • Operators — admin only. Inviting people and deciding what they can reach. See Adding and managing operators and Operator roles.

Operators is where guest data access is actually granted, so it is worth understanding before you invite anyone.

Organisation

Organisation-wide and admin only. Two things live here.

  • Translation provider. Choose DeepL or Google Translate. DeepL covers fewer languages and generally translates them better; Google Translate covers more. Links to both providers' supported-language lists sit next to the setting, and it is worth checking yours before you choose.

  • Text style. A default font, size and weight applied to every email your Operators send. See Set a default font size and weight for Inbox emails.

There is no Save button on this page. Each choice applies as soon as you select it.

Teams

Admin only. Create teams, write the rules that route conversations into them, and set the order that decides which team wins.

Bots

Every bot on your account, with its status, plus an Assignment rules screen that decides which bot picks up which ticket. Both your AI Agents and any webhook bots appear in this one list.

Automations

Send an automatic reply when an incoming message matches conditions you set — out of hours, on a particular channel, or to a particular audience. Each automation applies to the whole organisation or to a single property.

Parsers

A parser turns a forwarded OTA notification email into a readable conversation in your Inbox. Each one is listed with its domain, its type, and whether it is enabled.

Signatures

Yours alone. Save as many email signatures as you need and have the right one added automatically. There is a built-in editor, so you do not need any HTML, and you can still paste HTML or upload an HTML file if you would rather bring your own.

Adding an email signature

You can set one signature for new emails and a different one for replies and forwards, and swap signatures on an individual message from the composer. See Create and manage your email signatures, or the one-minute video on signatures.

Notifications

Yours alone. Set a notification sound, subscribe to push, in-app and email delivery, then switch individual events on or off for each of the three.

Language

Yours alone. Pick a language and guest messages written in a language you do not read are translated into it. Which engine does the translating is set for the whole organisation under Organisation, above.

Integrations

Channel connections that bring guest messages into the Inbox. Expedia is managed here.

What this does not do

  • Non-admins do not see every section. Admin-only sections are hidden rather than greyed out, so the settings panel simply looks shorter. If a section named here is missing for you, that is why.

  • Only admins can change roles and property access. Everyone else can see theirs but not edit it, including their own.

  • Notifications, Language and Signatures are per Operator. An admin cannot set them on someone else's behalf, and there is no account-wide version to push to everyone.

  • Organisation settings are not per property. The translation provider and the default text style apply across the whole organisation.

What to do next

If you are setting up a new account, do Operators first so people can log in, then Teams so their conversations route somewhere. Everything else can be adjusted as you go.
