Operator roles

The three roles, a table of what each one reaches, and why two roles are usually better than Admin.

A role decides which sections of Bookboost an operator can open. There are three, they stack rather than conflict, and one operator can hold more than one, so it is rare to need Admin for anything other than genuine administration.

A role does not decide which properties an operator sees. That is a separate control, covered in Accessible Apps. Someone can hold the Service role and still only reach one hotel.

The three roles

Service is for guest-facing staff: front desk, anyone answering messages, anyone tracking whether a guest has arrived.

Marketing is for whoever sends proactive messages: campaigns, the audiences they go to, and the results afterwards.

Admin reaches everything, including settings, integrations, and the operator list itself. It is the only role that can import guests manually or change anyone's access.

Profiles is one section with three parts: Audiences, Lists, and Guests. Service operators reach Guests, so they can look someone up while handling a conversation. Building an audience or a list is Marketing work, so those two are not part of the Service role.

Campaigns covers more than sending. Journeys, broadcasts, content blocks, messaging popups, and custom tokens all sit inside it, along with the results of each campaign.

Unified Inbox means the conversations, not the configuration. A Service operator does everything an Admin does inside the Inbox itself: read, reply, assign to another operator or a team, and archive, solve, snooze, or mark as spam. What they cannot reach is Inbox settings, where Teams, routing rules, Automations, quick replies, and signatures are configured. Those are Admin only.

Bookboost Insights is not part of any role. It is a separate add-on, so having Admin does not give you Insights and having Insights does not depend on your role. See Reports for the reporting the Marketing role does cover.

Holding more than one role

Roles are additive. An operator with both Service and Marketing reaches the Unified Inbox and Campaigns, and nothing behaves differently because they hold two.

This is the answer to most requests for Admin. Someone on the front desk who also sends the newsletter needs Service and Marketing, not platform-wide control. See Combining roles.

Assigning a role

You need to be an Admin to do this.

  1. Go to Settings in the left menu.

  2. Open Operators.

  3. Select the operator you want to change, or select + Add new to invite someone.

  4. Under Add role, choose a role from the list.

  5. To give them a second role, select Add role again and choose another.

  6. Select Save.

What this does not do

  • A role does not limit properties. Section access and property access are set separately. See Accessible Apps.

  • Only Admins can change roles. Everyone else can see their own role on their profile but cannot edit it, including their own.

  • There are no custom roles. These three are the full set. Where a job does not fit one of them, combine two rather than expecting a fourth.

  • Marketing operators cannot answer guests. No Inbox access means no replying, so anyone who both sends campaigns and handles replies needs Service as well.
