Managing Substitute Email Accounts Post-Update

Background: Why the Change?

In the Cloudia platform, a single email address could only be associated with one organisation. If a user needed access to multiple organisations, they were required to create "substitute" (alternate or fake) email addresses to log in to each respective account.

With the version update to Mercell Tendering (MT), this limitation has been removed.

How Multi-Organisation Access Works in MT

In the updated Mercell Tendering platform, a user's true email address can be linked to as many organisations as needed. There are no system blockers preventing the same email from being added to multiple accounts.

What to Expect During the Update

During the update, we will migrate all existing user accounts over to the new MT platform. However, this creates a temporary challenge for users who rely on substitute email addresses. Because our system cannot automatically distinguish between a real email address and a substitute one, we cannot filter these out during the update. Therefore, Organisation Admins must manually tidy up their user lists in MT once they have received access and provide the additional organisational access to those users.

Required Actions for Organisation Admins

To ensure your team members can access all necessary organisations after the version update, Organisation Admins must complete the following administrative steps in Mercell Tendering for each of their organisations:

  1. Identify Substitute Accounts: Review your organisation's user list in MT to locate any accounts that were historically set up using substitute or alternate email addresses.

  2. Delete Invalid Credentials: Remove these substitute user credentials, as they are no longer valid or accessible.

  3. Create New Credentials: Add the employee to your organisation's user list using their actual, primary email address.

  4. Assign Roles and Licenses: During the creation process, ensure you select the appropriate user role and attach the necessary license for the new profile.

Once these steps are completed, the user will be able to log in with their single, real email address and seamlessly toggle between their assigned organisations using the upper right-hand menu!
