To replace a user, you will first need to go through the steps to create a new user profile, copy over any existing monitoring profiles, switch the licenses and then remove the existing user. This might sound like a lot, but it is all simple to do as an Organisation administrator within User management.
Note: These changes can be made by the Organisation administrator.
It is recommended that you create a new user account for a new user instead of overwriting the contact details (such as email or name) on an existing account.
Updating an existing account retroactively changes historical data, which can cause inaccuracies, particularly if the original user participated in previous online tenders. The Organisation administrator retains full access to the organisation's historical data.
Adding the new user
On the left side menu, you will find the cog icon for Settings. Select this to open General Settings.
From there, you can select User management.
Select Add user.
Complete the required fields.
Click Save to create the user.
The user account is created with Basic User access by default. An email notification is automatically sent to the registered email address, containing a temporary password and instructions on how to log in.
Changing the Licenses
Find the tab Licences on the user profile you created. Add the required licences by using the toggle button on each option.
If there are no available licenses to assign to the new user, you may need to remove a license from another user first. If you are not sure how to do that, please check below the steps for Removing an existing user’s licence.
You have now added and fully set up your new user.
Deleting the user you have replaced
If you have followed the previous steps, then you have created a new user, moved over the license and monitoring profile(s). The old user has remained in the system with an active status.
If it should remain such for accessing any other historical data, change the user’s status to Not Active, and ensure that there are no active licenses linked. This way, you will prevent login access for the registered email address and be convinced that no paid licenses are used by inactive users.
Removing an existing user’s licence
To remove the licences of a user you have replaced,
Navigate back to User management
Find the replaced user and select Edit in the ellipsis (…)
Click on the Licences tab. Use the toggle to remove the licence from the user.
