Accessible Apps

The list that decides which properties an operator can work in, how to set it, and why an empty list is not a restriction.

An operator's Accessible Apps are the properties they can work in. Someone assigned one hotel sees that hotel's guests, conversations, and reservations, and nothing from the rest of the group.

This is separate from their role. A role decides which sections of Bookboost they can open; Accessible Apps decide which properties those sections show. Both are set on the same operator record.

What an App is

For most accounts an App is a property, so the list of Apps is the list of hotels. Giving an operator access to an App means giving them access to that hotel.

Some accounts have Apps that stand for something else, such as a bar or a separate unit, where that is how the account was set up at the beginning. This is the exception rather than the norm, and it is decided at account setup rather than changed later.

Setting an operator's properties

Only an Admin can change this, including their own.

  1. Go to Settings in the left menu.

  2. Open Operators.

  3. Select the operator you want to change, or select + Add new to invite someone.

  4. Under Accessible Apps, select the properties they should be able to work in.

  5. Select Save.

Operators who are not Admins can see their own list but cannot change it. If you need another property, ask an Admin in your account.

When to review the list

Property access drifts more than roles do, because people move between hotels and roles usually stay the same. Three moments are worth a check.

  • Onboarding. Set the properties in the same sitting as the invitation, rather than leaving it until they report something missing.

  • A new property opens. Nobody sees a property that is not on their list, so add the new App to every operator who should work in it.

  • Someone changes hotel. Adding the new property does not remove the old one.

What this does not do

  • An empty list is not a restriction. An operator with no Apps selected can fall back to organisation-level access, which is the opposite of what an empty list looks like it means. Assign properties explicitly.

  • Only Admins can change it. Service and Marketing operators cannot change their own access or anyone else's.

  • It does not override team routing. A team scoped to the whole organisation can still pass a conversation from another property to its members. See Property-level data visibility in the Unified Inbox.

  • It does not scope Bookboost Insights. Insights figures cover the whole organisation regardless of the operator's Apps.
