How to Export Orders to Mafelo Desktop?

Learn how to automatically find and sort photos for editing or printing using our dedicated application.

Written by Emilia Sowa

The export to Mafelo Desktop option is the most reliable way to automate your workflow after a gallery. It is our dedicated application (installed on your computer) that independently searches for purchased files on your drive and physically copies them, creating organized folders.

Key Benefits and Use Cases

  • Highest reliability: The application handles file names containing spaces or special characters without any issues (which can be problematic in other programs).

  • Prints without stress: When exporting prints, the application automatically sorts photos into separate subfolders based on the selected format and quantity — you get ready-made folders to send to the lab!

  • Structure choice: You can download all orders into one combined folder or automatically generate separate directories for each client of a public gallery.

How to Export Orders Using Mafelo Desktop

To download the photos or prints selected by the client, follow the steps below.

Important: For the application to work correctly and find the right files on your drive:

  • Files uploaded to the gallery in Mafelo must have exactly the same names as your original files (e.g. RAW) on your computer's drive. The file extensions themselves (e.g. .jpg, .cr2, .arw) do not matter.

  • Good news! Unlike other export types, the Mafelo Desktop application correctly searches for files that contain spaces or special characters in their names.

  1. Download and install the free Mafelo Desktop application from our website (available for Windows and MacOS): https://desktop.mafelo.com

  2. Go to Mafelo in your browser, to the Gallery from which you want to download the order list.

  3. Open the Client orders tab. (If you want to export only one order out of many, click on that specific order to view its details).

  4. Scroll down and click the appropriate button depending on what you need:

    • Export photos (if you are looking for files to retouch).

    • Export prints (if you want to send photos for printing).

  5. From the dropdown menu, select the to Mafelo Desktop option.

    • Tip: If you have more orders, the "separate directories" option may be more convenient. If you use it, a separate folder will be created on your drive for each order.

  6. A window will appear on screen with the generated list (script) needed by the application. Click the Copy to clipboard button.

  7. Launch the installed Mafelo Desktop application on your computer.

  8. Paste the copied list in the application window (using the keyboard shortcut Ctrl + V on Windows or Cmd + V on MacOS) and click the Prepare photos button.

  9. The application will ask you to select the folder on your computer's drive where the photos from this gallery are located.

  10. Select the appropriate directory and confirm:

    • Select the folder with RAW files if you chose "Export photos" and are looking for files to edit.

    • Select the folder with processed JPG files if you previously chose "Export prints".

What Will the Created Folders Look Like?

After confirming the selection, Mafelo Desktop will create new folders with the copied files inside the directory you specified on your drive:

  • If you exported "photos" (for editing): A folder will be created named e.g. "Wybrane zdjęcia [gallery name] wszystkie zamowienia".

  • If you exported "prints": A folder will be created named e.g. "do wydruku [gallery name] wszystkie zamowienia". Inside it, the files will additionally be sorted into separate subfolders by size and quantity ordered.
