Reservation statuses

Why the same booking can show one status in the Reservations table and a different one when you open it, and what the Status filter offers.

A booking reads Expected in the Reservations table, then reads something else entirely when you open it. Neither is wrong, and nothing is out of sync. The table shows Bookboost's own status; the reservation itself shows the status your PMS sent. This article covers which screen shows which, and what to do when the two disagree.

Three places a status appears, and they do not all use the same words

  • The Reservations table, in the Status column and the Status filter. This is Bookboost's own set of statuses, the same on every account.

  • The reservation itself, in the Reservation details section and in the Activity timeline. This is the raw status from your PMS, in your PMS's own words.

  • The audience builder, in the Reservation Status filter. This is a third list again, shorter than the table's.

Knowing which of the three you are looking at answers most status questions on its own.

The statuses in the Reservations table

The Status column and the Status filter offer the same thirteen values:

Enquired · Requested · Optional · Wait-listed · Expected · Due in · Checked In · Due out · Checked Out · Transferred · No Show · Cancelled · Other

Two things about this list matter more than the individual words.

It is Bookboost's list, not your PMS's. Every account sees the same thirteen, whatever PMS is behind it. Bookboost maps each status your PMS sends onto one of them.

Which of them you actually see depends on your PMS and how it is set up. A property whose PMS has no concept of a waiting list will never produce a Wait-listed booking. Filtering on a status that returns nothing usually means your PMS does not send it, rather than that you have no such bookings.

Other is the catch-all. A booking sitting in Other is one whose PMS status Bookboost has no mapping for, which is worth reporting rather than working around.

The Status filter offers is and is not. There is no "is any of", so to exclude one status, use is not.

Why the reservation itself shows something different

Open a booking and the Reservation details section shows the status exactly as your PMS sends it. The Activity timeline does the same, so a status event there reads in your PMS's words too.

The table and its filter show Bookboost's normalised version of that same status. So a PMS that calls a booking confirmed will show that word on the reservation, while the table shows the Bookboost status it maps to, which is Expected.

Both describe the same booking at the same moment. Nothing has failed, and there is nothing to reconcile. Which raw words you see on the reservation depends entirely on your PMS, which is why this article does not list them.

The audience builder uses its own values

When you build an audience with the Reservation Status filter, the values it offers are not the thirteen above. It is a shorter list with its own spelling, including a different spelling of cancelled.

Build audiences from the values that filter actually offers. Do not assume a status you read in the table will appear in the audience builder under the same name. Open the filter and read its list.

Importing statuses

The Property Data Importer expects statuses in its own format again, which is neither the table's nor the audience builder's. If you are preparing a file, take the accepted values from Property Data Importer Fields Available rather than from any screen.

When someone says the status is wrong

  1. Ask which screen they are looking at. The table shows Bookboost's status; the reservation shows the PMS's. A mismatch between those two is expected behaviour.

  2. If both disagree with the PMS itself, check the PMS information section on the reservation for when the record was last updated. Sync is not instant, and a recent change may not have arrived.

  3. If a status you use every day shows as Other, Bookboost has no mapping for it. Tell support which PMS you are on and what the status is called there.

  4. If a filter returns nothing, check whether your PMS sends that status at all before assuming the filter is broken.

What this does not do

  • You cannot change a status in Bookboost. Reservations are a read-only view of PMS data. Change it in the PMS and let it sync.

  • The table does not show you the raw PMS status. You have to open the reservation for that, so a status question usually needs both screens.

  • The three lists are not kept in step with each other. A status in one is not guaranteed to exist under the same name in another.

  • Nothing flags an unmapped status. A booking lands in Other silently.
