A note is what your team knows about a guest that no system would produce on its own: that they asked for a quiet room, that the anniversary dinner mattered, that they were unhappy about a late check-in. Notes sit on the guest's profile, so whoever picks the guest up next sees them without having to ask anyone.
Adding a note
Go to Profiles in the left menu and open Guests.
Find the guest and select their name to open the profile.
Open the Notes tab.
Select Note, write it, and save.
Notes are listed newest first, and the date filter narrows the list on a busy profile.
Notes and tasks are different things
A note records something about the guest. A task is work somebody has to do, and it carries a status: To Do, In Progress, or Done. If what you are writing needs someone to act on it, put it in Tasks so it can be closed rather than read.
What a good note looks like
Notes feed the AI guest summary on the Master Profile, which changes how they are best written. See Guest insights in the Master Profile.
State the fact, not the story. "Allergic to shellfish" is more use in a summary than "mentioned at dinner that shellfish is a problem".
Keep one subject per note. A note covering a room preference, a complaint and a birthday is hard for anyone to use later.
Leave out what should not be summarised. Payment details, health detail beyond what service needs, and anything you would not want condensed into a sentence and read at the front desk.
What this does not do
A note belongs to one profile. If the same guest exists as more than one record, a note on one does not appear on the others. The Master Profile is where a guest's records come together. See Master Profile.
Notes are internal to your team. Guests do not see them.
A note is not a task and not a tag. For work that needs closing use Tasks; for something you want to segment or target on, use a tag. See Guest tags.
