πŸ‘₯ Managing Operators in the Unified Inbox

Introduction

The Operators section in Bookboost's Inbox Settings is where admins can invite new team members to the platform, manage their access, and configure personal email signatures. Keeping your operator list organised ensures that the right people have access to the right conversations at all times. πŸ”

This section is visible to admin users only.

Main Concept: Operators & Access Management

An Operator is any team member who has access to the Bookboost Unified Inbox. Each operator is assigned a role and granted access to specific property folders, which determines which conversations they can view and respond to.

Admins have full control over who is invited, what role they hold, and which properties they can work on.

Use Cases

  • Inviting a new front desk agent or manager to the platform

  • Reviewing which operators are currently online or offline

  • Assigning operators to the correct properties when onboarding new staff

  • Setting up professional email signatures for outgoing guest communications

  • Offboarding operators by removing or deactivating their access

Configuration and Setup

Navigating the Operators Overview

  1. Go to Inbox Settings and select Operators from the navigation bar.

  2. View the full list of operators with access to the platform.

  3. Use the search bar to find a specific operator by name.

  4. Use the filter tabs at the top to switch between online, offline, or all operators (default view is "All").

Inviting a New Operator

  1. Click the Invite or Add New button in the top right corner of the Operators screen.

  1. In the first case, send an invitation email where the colleague sets their own password via an activation link

  1. In the second case, fill in the operator's name and email address. Create a strong password for the new operator.

  1. Share the password securely β€” we recommend using One Time Secret, since Bookboost handles guest data and it's your responsibility to ensure no unauthorised access. πŸ”

  2. Select a role for the operator.

  3. Grant access to the relevant property folders so they can work on the correct conversations.

  4. Click Save to complete the invitation.

Advanced Setup: Email Signatures

Operators can add a personalised email signature that appears on outgoing email messages. ✍️

  1. Go to Inbox Settings β†’ Operators and locate the Signatures section.

  2. Add your signature by either:

πŸ’‘ Tip: Use the free HubSpot Email Signature Generator to design a professional signature and simply copy the HTML into Bookboost.

Known Issues or Limitations

  1. Only admins can invite operators, assign roles, and manage property access.

  2. Non-admin operators can view their role and assigned properties but cannot modify them.

Conclusion

Properly managing your operators ensures your team has exactly the right level of access β€” no more, no less. πŸ™Œ By keeping roles, property access, and signatures up to date, you set your team up for smooth, professional guest communication from day one.
