Managing Your Team & Operator Settings

If more than one person will use Bookboost at your property, you need to invite them as operators, assign their roles, and let them personalise their profiles. This guide covers the full setup — from inviting your team to managing each operator's profile settings.


Part 1 — Inviting and Managing Your Team

Adding a new operator

There are two ways to add a colleague:

Option A: Add directly

Use this if you want to create the account yourself and share the credentials.

  1. Go to Settings → Operators

  2. Click Add New

  3. Fill in their name, email address, and temporary password

  4. Assign at least one role

  5. Click Save

Option B: Send an invitation email

Use this to let the colleague set up their own password.

  1. Go to Settings → Operators

  2. Click Invite in the top-right corner

  3. Enter their email address

  4. Assign at least one role

  5. Send the invitation

The colleague will receive an email with a link to activate their account.

Roles and permissions

Every operator must be assigned at least one role. Roles determine which areas of the platform the operator can access and what actions they can take.

Assign roles based on job function. A front desk agent handling guest messages does not need access to campaign management, and a marketing manager does not need access to inbox assignment settings.

To review or change a role:

  1. Go to Settings → Operators

  1. Click on the operator's name

  2. Update their role and save

Removing an operator

If a team member leaves, remove their access promptly.

  1. Go to Settings → Operators

  2. Find the operator

  3. Click the options menu and select Delete or Deactivate


Part 2 — Operator Profile Settings

Once operators are added, each person can personalise their profile and keep their details up to date. Your profile is your personal identity within Bookboost — it controls how you appear to your team and reflects the access you have across properties.

What you can manage in your profile

  • Profile picture (so teammates can identify you easily)

  • Personal details (name, contact information)

  • Password

  • Visibility of your assigned role and properties (read-only for non-admins)

How to update a profile

  1. Navigate to Settings → Operators using the left-side menu in the Unified Inbox.

  2. Select the profile you want to modify (your own, or a teammate's if you are an admin).

  3. Update the profile picture by uploading a new image.

  4. Edit the personal details such as name and contact information.

  5. Save your changes.

Only **admins** can change roles and property access. Other operators can view their assigned role and properties but cannot modify them. If your role or property access needs updating, reach out to your account admin.

Known limitations

  • Non-admin operators cannot change their own role or the properties they have access to — this must be done by an admin.
