Introduction
As a Workspace Admin, you govern and configure your organization’s Sana workspace. Your role focuses on deciding which features are available and how they are used. As a Workspace admin, you can -
Control how the workspace appears and behaves (name, default web search, support chat)
Decide which connectors (e.g. Gmail, Outlook, Salesforce) are available for users to connect
View the members of the workspace and their role and license
Check security features and limit actions to allowed email domains
User provisioning, role assignment, and deprovisioning are handled in Workday and mirrored into Sana. For questions about user access, contact your Workday administrator or HR/IT counterpart.
Logging in for the first time
Admins access Sana the same way as any other user.
Login in your Workday portal
On the left hand side bar, click “More” and then click on the Sana Agent link
Your admin access is provisioned from Workday based on your assigned group. There is no separate admin account to create.
Accessing Workspace Settings
To access the admin panel:
Click your workspace name at the top of the left sidebar.
Select Workspace settings.
From here you can manage the configuration options described below.
What you can do as an admin
In "General" settings, admins can choose how the workspace is presented, including the workspace name, whether web search is enabled by default for new conversations, and whether the customer support chat is visible:
With "Connectors" settings, admins can select which connectors should be available to all users in the workspace by toggling them on or off:
With the "Members" view, admins can see all provisioned users in the workspace, their last activity, their license type, and their role:
In "Security" settings, admins can set workspace-wide security preferences such as restricting which email domains agents can send to.
What admins cannot do in Sana
The following actions are not available in Sana for an Admin:
Create the workspace - Workspaces are created during initial provisioning, not from within Sana.
Create or delete user accounts - User lifecycle (create, delete) is managed in Workday and synced to Sana via provisioning.
Assign or change user roles - Admin and Member roles are set in Workday (e.g. by group) and cannot be changed in Sana.
Access other users’ chats or files - Chats and file uploads are private to each user. Admins cannot view another user’s data.

FAQ
Q: Can I manually create a user?
A: No. All user provisioning is handled via Workday to ensure security and auditability. The user must be added in Workday first.
Q: Can I access my users' chat history?
A: No. Admins can manage workspace settings and policies, but cannot view private conversations or files uploaded by users.
Q: How do I get admin access?
A: Admin access is provisioned from Workday. Contact your Workday administrator to be assigned to the appropriate group.
