When a guide requires approval, designated approvers from the team must review and either approve or reject the guide before it can be published.

Reviewing a Guide Approval Request

Here’s how approvers can review a guide:

  1. Notification:

    • Approvers will receive an email notifying them of a guide approval request

    • If an approval order has been set up, approvers will receive the notification based on the set order

  2. Reviewing the Guide:

    • Open the guide directly via the email notification or navigate to the guide that requires review

    • Use the Activity Log to:

      • Review changes made to the guide content

      • Check the workflow status to see pending approvals

  3. Approve or Reject the Guide:

📩 Based on your team's notification settings, relevant team members will receive an email informing them whether the guide has been approved or rejected.


Approve & Publish

  1. Click the button in your email, or navigate to the guide requiring approval

  2. Check the Activity Log to review all the changes made to the guide

  3. Click APPROVE to approve this version of the Guide. If you are the final approver, click APPROVE & PUBLISH

  4. Confirm the Workspaces where the guide should be visible and then click PUBLISH UPDATES

Team members will receive an email notification confirming the guide has been approved and published. The updated version will then be visible to end-users.

Reject & Provide Feedback

  1. Click the button in your email, or navigate to the guide requiring approval

  2. Check the Activity Log to review all the changes made to the guide

  3. Click REJECT THIS VERSION to reject the guide & end the approval workflow

  4. Enter your feedback in the dialogue box explaining why the guide was rejected

  5. Click REJECT AND SEND FEEDBACK

Team members will receive an email notification with the rejection details. The guide will revert to draft status for revisions. Feedback and rejections will be logged in the Activity Log.
