About SameSystems BI reports
The BI reports in SameSystem are built not only to collect huge amounts of your valuable customer and employee data, but to also visualize the data in a way that makes it easy to read and understand.
Different situations require different types of reporting. The BI reports are designed to let you be in charge of what data the reports will fetch, meaning you can actually tailor the reports to show exactly the type of data you need, at any given time.
But before diving into the reports, continue reading to learn how to build your reports to get the most out of your data 💪

Where to locate the BI reports
Start by logging in to your own SameSystem account.
Note: If you cannot find the report you are looking for, it might be due to restrictions to your title set up by your administration. Our Support teams will be able to let you know if this is the case, so feel free to start a chat with us if you need any help (contact info provided at the bottom of this article).
Once you're logged in, head into the main menu and click on Tools > Reports. Here, you will find all the different BI reports.
There are dedicated articles to explain in greater detail how to read all the different BI reports. We'll get into that further down in this article, but first, let's learn more about filters and widgets:
Filters
Interacting with Filters
Filters let you interact with and analyze your data. Filters can be used either in the Filters panel or by simply selecting values by left-clicking the relevant widget.
How to interact with the filter panel
Select what data to view in the filter controls displayed in the Filters panel on the right side of the dashboard, as shown below (click on the small pencil to open this):
In addition, you can perform the following procedures:
Dependent filters
Dependent Filters combine multiple dashboard filters into a hierarchy of filters where each filter shows only the options relevant to its parent filters. When you filter the parent filter, fewer options will be available in the child filter.
The number of available options for selection in the child filter is narrowed down because of the selections in the parent filter. The child filter appears on the dashboard with a downward-facing arrow indicating the parent filter and its dependent filter below. Below, the parent filter is the year 2021, and the child filters are Q1 through Q4:
Switching Filters On and Off
You can easily toggle filters on and off using the toggle switch. Use this option to compare states (with and without the filter), or to temporarily disable a filter.
Note: Clearing all the values of a filter is equivalent to turning the filter off, as in both cases no filtering is performed and all values are returned.
Saving your default filters view
You can save the current state of your filters and their settings at any time. The current state includes the existing filters, their configuration, and the order in which they appear in the filters panel.
After making changes to any of the above settings, you will be able to restore your filters to their previously saved state.
To save your current set of filters, start by clicking on the three dots in the filter menu:
...and click Set as My Default Filters.
To restore saved filters, click the restore icon in the Filters menu:
Widgets
Making Selections in a Widget
💡 What is a widget? Any area of the BI report that you can interact with (click on), we call a widget. Interacting with widgets will let you tailor the report to view exactly the data you need.
How to interact with widgets
You can click on a specific portion of a widget to select it. This filters the dashboard according to the selected data by adding a filter to the dashboard’s Filters panel.
You can also use the selection to drill down in the widget (see "Drilling Down in a Widget" further down).
To select an item in a widget for filtering:
Left-click an item in a widget to automatically select it and add a dashboard filter according to the selection.
For multiple selections, hold down the Ctrl-key on your keyboard and click on all the widgets you want to filter. When released, a menu will appear. Click Select:
In chart widgets, you can drag and draw the area to be selected, as shown below:
To expand the widget, click on the small double-arrow icon at the top right corner:
You can then refine your data further by toggling the switches on the left side as shown in the example below.
Drilling Down in a Widget
This topic describes how you can drill down into your data in most widgets to get an in-depth view of a selected value.
In the following example, the scatter chart at the top shows a breakdown by quarters. In the second image below, the chart shows a breakdown/drill down showing weeks of the ‘quarter’ segment from the original scatter chart.
To drill down into a chart:
Right-click on the item in the widget into which you want to drill down.
Select a predefined drill hierarchy (if available). To drill up to a higher level, click on a breadcrumb. To drill all the way up, click on the X icon to the left.
Switchable dimensions of a widget
The switchable dimensions allow you to provide several views of your data. You can easily toggle between dimensions displayed in a widget.
Note: This is only available for some specific pivot tables and diagrams.
To switch the dimensions, you have to right-click on the pivot table and choose another dimension instead of the one you see in the pivot table rows or columns.
Example
In our case, we would like to see years on a row-level instead of employee names. We right-click on the pivot table and choose "Year" under 'rows':
We see that the view has changed according to our new dimensions:
Detailed information of a widget
Many of the widgets have additional, more detailed information “behind them”. You can click a value in the widget or select some values and jump to the relevant dashboard.
In Indicator widgets, click once and the system will send you to the relevant dashboard. In charts and diagrams, you need to click on the data you want to filter on, and then select "Jump to_drill_*name*":
Exporting Widgets
You can download widgets in one of the following formats depending on the widget type:
CSV: Download the data described by the widget in a CSV file. If you have applied any filters, the filtered data is the data included in the file.
Excel: Download the data described by the widget in an Excel file. When you export a pivot table to Excel, the data that is exported is the data that is displayed in your widget. This means that any active filters, layout structure, and masks that you have applied to your data are exported as well. Exporting to Excel maintains your pivot’s layout and structure, and values such as sub-totals, which are not maintained when you export a pivot table to CSV.
Image (PNG): You can download a widget as an image in PNG format. The image size will reflect the size of the widget on the screen when you download it. To create a larger image, enlarge the widget space in the dashboard, or open the widget in edit view, to get a bigger picture.
PDF: Download the widget as a PDF. For Table widgets, you can customize how your table is displayed in your PDF including the table’s orientation and page size. In the PDF Report Settings, the first 14 pages of your Pivot table are displayed in the preview window, however, when you export your Pivot table to PDF, the entire table is included, up to 10,000 rows on multiple pages.
Downloading a widget
In your dashboard view, click on the widget’s menu, select Download, followed by selecting the relevant file type.
In full-screen widget view, click on the download icon as shown below, select Download, and then select the relevant file type.
Tabber
Tabber is a widget that allows you to switch between views easily and quickly without changing the dashboard. Tabber is available only in some of the dashboards. It is usually displayed at the top of the dashboard. You can click on the name of the tab to open the next dashboard:
