Schedule report

Analyze schedule hours in one single report, such as working, absence, task, lent-in and lent-out hours.

Purpose of the report

This report covers everything related to scheduling:

  • working hours

  • absences

  • public holidays

  • user individual tasks

  • daily tasks

  • lend-ins (users your department have lended from the others)

  • lend-outs (users your department have lended to the others)

You can analyze the data in various layers, to see the patterns in the previous periods as well as differences in released vs real working hours. The report helps you to understand your users behavior in relation to absences - how often, what kind of absences are the most popular and even which days of the week there are most of them.

All the data is easily understandable, presented in the visual diagrams as well as supported by pivot tables, which can be converted in the most comfortable form for you.

This report also includes additional metrics like FTEs, working hours per opening hours.

Data

Time period

Data is presented since 2019 (or the earliest data you have imported to Same System) - to present.

Updates

Data refreshes every 24 hours at night. If any changes were made in the schedule, please wait for the next day and then check the report.

Raw data in SameSystem

All data is taken and summarized from SameSystem application, which you have provided for us. If you would like to check or change the data presented, please do the changes directly in the SameSystem application. Numbers in reports can not be changed unless the raw data is changed.

Public holidays - all hours which users have been on public holidays. More about how hours for the public holidays are calculated please read this article.

Tabs

All hours

All hours = working hours + absences + public holidays.

Absences

Absence hours - all hours during which users were absent. To learn more about how hours are calculated please read this article.

Released absence hours - absence hours which were known and planned before releasing the schedule.

Absence types - paid or unpaid. This is defined in absence settings by salary calculation % - 0% is unpaid absence, >0% is paid absence.

Working hours

Released working hours - planned schedule hours which have been released while planning. More about schedule release please read this article.

Working hours = regular working hours + lent-in hours + individual tasks + daily tasks.

Bonus hours go on the top of working hours (just for how many of working hours people got bonuses).

Regular working hours = all working hours without the tasks or lent-in hours.

Lent-in

Tasks

There are two types of tasks - individual tasks and daily tasks.

Individual tasks can be analyzed on a user level, while daily tasks are applied only on a department level.

Bonus

Most bonuses are applied automatically, such as the bonus type "Inconvenient hours", which applies based on the weekday and the time of the day.

Bonus hours calculation is set by administrators.

Lent-out

Your department users hours worked in other departments.

Opening hours

Your opening hours are defined under Administration - Settings - Department settings.

Working hours per store opening hours = Working hours in the period / amount of open hours by the department in the period.

Working hours outside opening hours calculate the hours spent on the shifts which start before opening hour or end after closing hour. There could be three categories:

  • before opening

  • after closing

before and after (meaning that a shift starts before the opening hours and ends after closing hour)

New features

Actual days count - under tab "All hours", in the pivot table, we have added a "hidden" column, which you can enable yourself, which is called "Actual days count". This column counts the days when hours were registered for the user - including all working days, absent days and vacation days (if counted to that user based on contract).
