How to launch voucher sales
1. Prepare your packages and services
To sell a voucher, you need to have services and packages defined in the system. If you already have them configured, you can skip this step.
💡Tip: You don't need to configure working hours or a full booking calendar! To sell a voucher, all you need is the service name, the package contents, and its price.
2. Enable voucher sales in settings
This is where the magic happens! Decide which of your services clients will be able to purchase as a gift.
Go to the Settings tab in the left-hand menu of the main dashboard.
Select the Vouchers section.
Set the voucher validity period (the default and most commonly chosen period is 12 months).
You will see a list of your packages. Check the packages for which you want to enable voucher purchases.
Optional: You can ask the buyer additional questions (e.g. "Who is this gift for?" or "What is the occasion for this voucher?"). If you want the answer to be mandatory, check the box Client must answer the question when purchasing the voucher.
Your vouchers are technically ready for sale.
3. Share the offer with your clients
The best offer is the one your clients can see. Once vouchers are enabled, a new Buy as a gift button will automatically appear on your booking page next to the selected packages.
Your final task is to copy the link to your booking page and share it with the world. You can easily find this link in your main dashboard:
Share the copied link on your Instagram (in your Bio or Stories), Facebook, or add it to your email signature.
ow to add custom questions to the purchase form
No more sending extra emails after a voucher purchase to ask for invoice details or dedication text! You can now configure your own fields that the client will fill in during the purchase.
What can you use this for?
Dedication: Ask the client to enter the message text ("To whom", "From whom"), which will make personalizing the voucher easier.
Delivery: If you offer elegant, printed invitations, ask for a shipping address (we also plan to add direct parcel locker selection!).
Invoice details: If the client needs an invoice, they can provide their VAT number and company name right away.
How to configure additional questions?
Go to the Settings tab, then select Vouchers.
Scroll down to the Additional questions during voucher purchase. section.
Click the Add question button.
Enter the question text and indicate whether the answer should be required (mandatory).
Optional: You can freely reorder questions by grabbing the arrow icon and dragging them up or down.
Where do I find client responses? All client responses can be found in the email notification about a new purchase and in the details of the specific voucher in your Mafelo dashboard (in the Vouchers tab).
How to sell vouchers without choosing a date in the calendar
Do you want to launch holiday voucher sales but don't have your schedule set for the upcoming season yet? Or do you prefer to sell sessions and arrange the date with the client individually at a later time?
In Mafelo you can create a package that is available only for purchase as a voucher, while hidden from standard calendar bookings.
1. Hide the package in the booking calendar
First, we need to tell the system that this package cannot be booked in the traditional way.
Go to the Services tab in the left-hand menu.
Select the session type (e.g. "Newborn session") and find the package you want to sell only as a voucher.
Click the Actions button next to the selected package and choose Edit package.
In the package editing window, find the Clients can book the package online field.
Uncheck this field (it must remain empty).
Click Save at the bottom of the form.
2. Enable voucher sales for this package
Now we need to make the hidden package appear on the page exclusively as a gift option.
Go to the Settings tab, then select Vouchers.
In the package list, find the one you just edited (e.g. "Mini Package").
Check the checkbox next to the package name to enable vouchers for it.
Click Save.
Done! When a client visits your page, they will see this package exclusively with the Buy as a gift button. The system will not display the date and time selection option, directing the client straight to the purchase.
📣Note: If in the future you want clients to be able to book this package normally in the calendar again, remember to go back to editing it and re-check the Clients can book the package online field.
How to boost voucher sales with discount codes
Vouchers are the ideal tool for taking advantage of peak shopping periods (such as Black Friday, the Holidays, Mother's Day) to secure cash flow for quieter months (e.g. January and February).
To further encourage clients to make a purchase, you can offer them a discount by using the full discount codes support for vouchers.
1. Pricing psychology (Tip)
When creating a discount code (e.g. BLACKFRIDAY50), think about its format:
If your session price is below 100 PLN, it's better to use percentages (e.g. -20%).
If the session price exceeds 100 PLN, it's better to state a specific amount (e.g. -50 PLN discount).
For a client, a specific amount of "50 PLN in your pocket" often sounds more appealing than "20% off", even if mathematically it represents the same value.
2. How to configure a discount code for a voucher
Make sure you have already enabled voucher sales (as per the instructions above).
Go to the Bookings tab in the left-hand menu, then select Discount codes.
Add a new discount code and assign it to the packages you are selling as vouchers.
Share the copied link to your offer on social media, letting clients know about the active discount code!
Payment methods for vouchers
You have complete flexibility in choosing how clients will pay for vouchers. You can automate the process, offer deferred payments, or handle them manually.
Option A: Full automation (Recommended)
Once online payments are enabled in Mafelo, the client pays via a fast bank transfer or BLIK, and the system immediately and fully automatically sends the voucher code to their email.
⚠️ Important: Enabling online payments requires meeting several conditions on your booking page so that the payment operator (e.g. HotPay) fully accepts your account. You will find the exact list of things you need to set up in our dedicated article: How to prepare your page for online payments
Deferred payments PayPo (Przelewy24)
Give your clients greater financial flexibility. With PayPo, clients can buy a gift today ("Buy now") and pay for it conveniently within 30 days ("Pay later"). This is a great solution that significantly increases conversion rates when selling higher-priced session packages.
Note: To use this option, you must have an active integration with the Przelewy24 operator.
⚠️ Important: How to activate PayPo? The process is two-step and without contacting the operator, this option will not work in Mafelo:
Step 1 (Przelewy24): Contact Przelewy24 support and request activation of the PayPo service on your account.
Step 2 (Mafelo): Only after receiving confirmation from the operator, go to the Settings tab in Mafelo, then select Online payments and enable the PayPo option visible there.
Option C: Manual payment verification
You can handle sales yourself using traditional bank transfers or a BLIK transfer to a phone number.
Go to the Settings tab, then click Online payments.
Scroll down to the Additional payment information section.
Enter your instructions for clients (e.g. bank account number or phone number).
📣Note: In the case of manual payment, once you have recorded the payment in your account, you must manually mark the voucher as "Paid" in the Mafelo dashboard. Only then will the client receive their code at their email address.
How to manage sold vouchers
The system gives you a full overview of all sold vouchers. You can easily check whether they have already been redeemed, and delete them entirely if needed.
How to check and change the voucher status?
Each voucher displays its status, giving you a clear view of which gift sessions are still awaiting redemption. The main statuses are:
To be redeemed – the client purchased the voucher but has not yet redeemed it.
Redeemed – the session assigned to the voucher has already taken place.
To change the status (e.g. after a completed photo session):
Go to the Vouchers tab in the left-hand menu.
In the list of sold vouchers, click the one you want to update.
Change its status to the appropriate one (e.g. to Redeemed).
How to delete a sold voucher?
If the need arises, any voucher can be deleted from the system (e.g. in case of an error or a refund).
Go to the Vouchers tab in the left-hand menu.
Click on the selected voucher.
Click the Actions button, then select Delete.
Frequently asked questions (FAQ)
What does the client receive after purchasing a voucher?
After a successful purchase, the client receives an email with a confirmation and a unique, digital voucher code. We do not send physical cards — this is a 100% digital solution, which allows for the instant giving of a gift.
How can the gift recipient redeem the voucher?
To redeem a voucher, the client (or the gift recipient) contacts you directly by email or phone, providing their unique code. You then verify the code in the Vouchers tab in your Mafelo dashboard, agree on the session date together, and change the voucher status to Redeemed.
Can discount codes be combined with vouchers?
Yes, discount codes can be combined with vouchers without any issues. To configure them, go to the Bookings tab, then select Discount codes.
Why does the voucher feature have a "Beta Version" label?
The voucher feature has a "Beta Version" label because we are placing in your hands a solid foundation that we are still actively working on. We are currently working on the ability for clients to independently book a date in the calendar using a voucher code.
