Reading form submissions

Where completed Guest App forms land, how to find the one you need, and how to mark off the ones you have dealt with.

Every form a guest completes lands in one list. Submissions sit under Guest App in the left menu, in Submissions (Legacy). A property that has been running forms for a while will have thousands of rows here, so most of using this screen is finding the few you want.

If your menu also shows a Submissions entry, that one belongs to the new Guest App builder and holds its own submissions. This article covers the Legacy list.

What each row tells you

One submission is one row. Where a reservation carries more than one guest, each guest's form is its own row, so a family of four produces four.

  • Form. Which form was completed.

  • Property. The property the form belongs to.

  • Submitted by. The person who opened the link and sent the form, linked to their guest profile. On a multi-guest check-in this stays the same for every guest on the reservation, because one person usually fills in the rest, so it is not the same thing as whose details are in the form.

  • Reservation. A summary of the booking the submission belongs to: its reference and status, the stay dates, the number of guests and nights, the room, and the total and outstanding balance. The arrow opens the full reservation. A dash means the submission is not attached to a booking.

  • Submitted. The date and time it arrived.

After Submitted there is a column with no heading, which shows a tick against any submission that has been marked as done.

Form, Reservation, and Submitted can be sorted by selecting the column heading.

Finding the one you need

Seven filters sit above the list, and they combine. Once any of them is set, a Reset link appears to clear them again.

  • Form, to look at one form at a time. Usually the first thing to set.

  • Property.

  • Guest First Name and Guest Last Name, as free text.

  • Marked as, either Done or Not done.

  • Submitted at, a date range.

  • Check-in date, a date range.

Check-in date is the filter that matters for arrivals. It lets you pull up everyone arriving tomorrow rather than everyone who happened to submit yesterday, which is the question a front desk actually asks.

The list shows 12 rows at a time by default, and you can raise that to 24, 48, or 96 at the bottom of the page.

Reading a submission

Select the eye icon on the row, labelled View. The submission opens on its own screen, showing the form name, the property, and the person who submitted it, then every question with the guest's answer beside it.

Each answer has a copy icon next to it. If you are keying details into a PMS by hand, copy from here rather than retyping, so nothing is mistranscribed.

Select Submissions at the top left to go back to the list, with your filters still applied.

Marking a submission as done

Open a submission and select Mark Done. You are returned to the list, where the submission now carries a tick, and you can filter on it with Marked as.

The tick itself is only an indicator. Selecting it in the list does nothing, so marking always happens from the submission screen.

Marking cannot be undone. The button still reads Mark Done afterwards, nothing on that screen says the submission has already been marked, and selecting it again does not clear it. The tick in the list and the Marked as filter are the only places the state shows, so treat marking as a one-way step.

Whether you need this at all depends on your PMS. Where a form writes back, the answers are already where they need to be and there is nothing to track. Where it does not, somebody has to copy each submission across by hand, and this is the only shared signal you have for which ones are finished.

Nothing else in Bookboost reads it, so agree what it means before you start. Used as "this one is in the PMS", filtering on Not done gives whoever is on shift the list still waiting for them, and nobody does the same one twice.

What this does not do

  • There is no export. Submissions are read one at a time on screen. If you need a spreadsheet of a form's answers over a period, ask support and say which form and which dates.

  • Marking something done does not send it anywhere. It is a label on the row, not an instruction to your PMS, and it cannot be reversed.

  • Mews online check-ins do not appear here. Guests sent to Mews' own check-in page complete it in Mews, so there is no Bookboost submission to read. See Online check-in.

  • Deleting is one row at a time, and nothing in the list brings one back.

  • Answers cannot be pulled into a message. You can trigger a campaign from a submission, but what the guest typed is not available as a token. See Trigger campaigns from Guest App form submissions.
