Create a form

Building a form, why the form type changes behaviour, sending it with a token, and where submissions land.

A form collects information from a guest: contact details for an OTA booking, identification for check-in, an answer to a question you want to segment on later. You build it once and send it in a campaign.

Forms sit under Guest App > Forms. You will also see the Guest App called Digital Reception; they are the same thing.

Creating a form

  1. Go to Guest App in the left menu and open Forms.

  2. Select + Add new form in the top right.

  3. Give it a name and select the property it belongs to.

  4. Choose the form type. This is the decision that matters most, and it is covered below.

  5. Drag fields from the panel on the left onto the form.

  6. Set the submit message, which is what the guest sees after sending it.

  7. Select Save and check the preview.

The form type matters

The type is chosen when you create the form and it changes behaviour, not just wording.

Check-in and pre-check-in forms switch on multi-guest check-in automatically whenever a reservation has more than one guest. That is usually what you want, and occasionally not. See Multi-guest check-in.

Custom forms do not. If you need a check-in style form that only ever goes to the person who received it, this is the type to use.

Payment link forms connect to a payment provider, and accept only text and divider elements. No input fields.

Sending it to guests

  1. Open the campaign you want to send it from.

  2. In the message editor, open the Guest App section at the bottom of the content.

  3. Choose Form.

  4. Pick your form from the list and copy its token.

  5. Paste the token into the button link in your message.

Use the token rather than a URL. The token is what makes the form arrive knowing who the guest is, so their details are already filled in. A pasted link gives you a blank form and a guest who has to type everything.

Reading what comes back

Completed forms are under Guest App > Submissions, filterable by property, guest name, and date.

Answers also become available as an audience filter, so a question with fixed options can be segmented on afterwards. See Segment guests by a form field value.

What this does not do

  • Forms have no branding panel. No colours, fonts, or logo settings. What you control is the wording and the structure.

  • Payment link forms take no input fields. Text and dividers only.

  • Submitting does not always reach your PMS. Writing data back needs a two-way integration. Without one, the answers enrich the guest profile in Bookboost and stop there.

  • Free-text answers cannot be segmented on. Only fields with fixed options can be used as an audience filter, so ask as a dropdown anything you plan to target later.
