What the Mews integration does

What data syncs between Mews and Bookboost, in both directions, and what you can build with it.

Introduction

The Mews integration keeps Bookboost in step with your PMS so you can automate guest communication without double keying. Mews remains the source of truth for bookings; Bookboost pulls guest and reservation data from it, and a defined set of fields can be written back through forms. This article explains what flows each way, how online check-in and reservation time updates work, and how Mews data is structured once it reaches Bookboost.

How data flows

From Mews to Bookboost. Guest and reservation data syncs every five minutes. This includes booking details, guest profiles, and reservation notes, and gives you more than 50 tokens to personalise campaigns and messages. See Available Mews tokens for campaigns for the full list.

From Bookboost to Mews. Only updates submitted through a form are written back to Mews. The fields that can be written back are:

  • Personal information: first name, last name (required), title (required), salutation, gender, primary email, phone number, nationality, and birthday.

  • Identity documents: document type and identification number (both required if a document is submitted), issue date, and expiry date.

  • Address: address line 1 (required if an address is submitted), address line 2, city (required if an address is submitted), zip code, and country (required if an address is submitted).

Online check-in

You can send each guest a personalised Mews online check-in link using the token {{mews.checkin_link_primary_guest}} in a campaign. Guests open the Mews online check-in page, fill in their personal details, add any upsells, and complete the process. There is a short video walkthrough of the Mews online check-in feature.

To use it:

  • The Mews integration must be active.

  • Online check-in must be enabled in Mews.

  • The setting mews_guest_portal_links_enabled must be active, which Bookboost sets for you.

Contact the Bookboost product integrations team to enable this. Once enabled, links generate automatically for each reservation, usually within 5 to 10 minutes.

Reservation time updates through forms

Guests can change their arrival or departure time from a 2-way form, and the new time is pushed straight back to Mews. This lets guests request an early check-in or late check-out from a self-service form without staff entering it by hand, and it captures the actual arrival time for housekeeping and front-desk planning.

To set this up, add a time field to a 2-way form, bind it to the reservation's arrival or departure time, and publish. Note that only the time is editable this way; the date stays fixed to the reservation's original arrival or departure day. What you can do with this

  • Send a pre-arrival message with a personalised online check-in link so guests check in before they arrive.

  • Let guests request a late check-out from a form, with the new departure time written back to Mews automatically.

  • Trigger messages in Bookboost from Mews reservation status changes, for example a booking confirmation or a pre-arrival sequence.

  • Treat company bookers and individual guests differently in the same journey using reservation set tokens.

How Mews data is structured

  • Company bookings. Mews separates company and individual bookings. You can build journeys that treat bookers and guests differently using reservation set tokens.

  • Space categories. Mews uses space categories in place of traditional room types.

  • Products and services. In Mews, a service is anything a property sells, paid or free, such as accommodation, late check-out, or parking. Charges are grouped accordingly and appear in message tokens.

  • Guest segmentation. Mews has limited segmentation options. Bookboost adds flexible, tag-based segmentation on top. Read more about audiences in Bookboost.

Configuration and Setup

Online check-in and reservation time updates need to be set up before use: online check-in is enabled by the Bookboost product integrations team, and reservation time updates require a bound time field on a 2-way form.
