What the Apaleo integration does

What data syncs between Apaleo and Bookboost, in both directions, and what you can build with it.

Introduction

The Apaleo integration keeps Bookboost in step with your PMS in real time, so you can automate guest communication, personalise campaigns, and write guest details back to Apaleo. This article explains what syncs each way, how registration forms and online check-in work, and the Apaleo specific tokens you can use.

How data flows

Apaleo is a two-way direct integration. Changes in Apaleo reach Bookboost in real time, covering reservations, folios, invoices, and property updates.

From Apaleo to Bookboost. Reservation data includes arrival and departure dates and times, reservation status, booking channel, market segment, guarantee type, travel purpose, number of adults, currency, balance, and total amounts. Guest data includes first and last name, email, phone, salutation, gender, and nationality.

From Bookboost to Apaleo. Guest details submitted through a form are written back: first name, last name, email, phone, nationality, birth place, birth date, identification number, and address (line 1, city, postal code, country).

One thing to know about Apaleo profiles

Apaleo does not hold a separate guest record. Guest information is tied to a reservation and its folio. In practice this means that when guest data is updated in Bookboost, it updates the guest on the relevant reservation in Apaleo, rather than a standalone guest profile. Registration forms and binding

Registration forms use binding, which means a guest's details update in real time when they submit the form. With a two-way form, the details a guest enters are written straight back to their reservation in Apaleo, so the record stays current without manual entry.

Online check-in

Online check-in is supported as an online pre-check-in form through the two-way integration. Guests complete their details before arrival, and the details they submit are written back to their reservation in Apaleo. Note that completing the form does not set a checked-in or pre-checked-in status in Apaleo; see Apaleo integration limitations and things to know.

Reservation notes

Reservation and booking comments from Apaleo sync into Bookboost as Notes, so your team always has the latest guest requests and booking context. The guest comment (special requests), the booker comment, and internal hotel comments all sync. Three dedicated tokens are available for use in templates:

  • reservation.guest_comment for the guest's comment

  • reservation.booker_comment for the booker's comment

  • reservation.internal_comment for the internal hotel comment

The existing notes token continues to include all synced notes. Notes sync as plain text.

Invoice campaigns

You can trigger a campaign automatically when an invoice is created in Apaleo, for example to send the invoice to the guest. Two Apaleo tokens are available:

  • apaleo.debtor_invoice_pdf opens a landing page where the guest can download the invoice as a PDF. The landing page can be personalised in the Digital Reception settings.

  • apaleo.debtor_invoices opens a page listing the guest's invoices.

Invoice campaigns are currently available for Apaleo only.

What you can do with this

  • Personalise a pre-arrival message using the guest's special requests from their Apaleo comment.

  • Send an invoice automatically when it is created in Apaleo.

  • Let guests complete online pre-check-in through the Guest App, with details written back to Apaleo.

  • Build segments and journeys from reservation data such as status, channel, and market segment.

Configuration and Setup

The data sync needs no configuration once the integration is active. Registration forms and invoice campaigns are built in Bookboost. To connect a property, see Setting up the Apaleo integration.
