πŸ›ŽοΈ Understanding the Service Role in Bookboost

Introduction

Bookboost offers different user roles to ensure that each team member has access to the tools and features most relevant to their work. This article explains the Service role β€” what it is, who it's for, and what it can (and cannot) access within the platform.

Main Concept: The Service Role

The Service role is designed for team members who work in a guest-facing capacity within your hotel. It provides access to the core tools needed to interact directly with guests and manage day-to-day hospitality tasks β€” while keeping more advanced features reserved for the right roles.

Use Cases

The Service role is ideal for:

  • 🏨 Front desk staff who need to interact with guests through messaging

  • βœ… Team members managing tasks, such as tracking whether a guest has checked in or not

  • πŸ‘€ Staff who need to monitor guest activity and ensure smooth day-to-day operations

Sections Available to the Service Role

A Service operator has access to the following sections only:

  • πŸ“₯ Inbox β€” Communicate with guests directly (with some limitations β€” see below)

  • βœ… Tasks β€” Manage and track guest-related tasks

  • πŸ‘€ Guests β€” View guest profiles (with some limitations β€” see below)

  • πŸ“… Reservations β€” Access reservation information

  • πŸ–₯️ Guest App β€” Manage the digital reception experience

Known Issues or Limitations

  1. No access to Campaigns β€” Service operators cannot create or manage campaigns. To work with campaigns, a Marketing or Admin role is required.

  2. Inbox limitations β€” The Inbox is available, but with some restrictions compared to higher-level roles.

  3. Profile limitations β€” Guest profiles can be viewed, but Service operators cannot manually import guests. This action requires an Admin role.

Conclusion

The Service role gives guest-facing staff the right level of access to do their jobs effectively β€” from messaging guests to managing tasks and reservations β€” without exposing them to tools intended for other roles. Understanding these boundaries helps teams work efficiently and ensures the right people have the right permissions. βœ…
