Create a form

Building a form, what the form type does and does not change, sending it with a token, and where submissions land.

A form collects information from a guest: contact details for an OTA booking, identification for check-in, an answer to a question you want to segment on later. You build it once and send it in a campaign.

Forms sit under Guest App > Forms (Legacy). You will also see the Guest App called Digital Reception; they are the same thing.

Creating a form

  1. Go to Guest App in the left menu and open Forms (Legacy).

  2. Select Add new form, the plus icon in the top right. It opens a dialog headed Create form.

  3. Give it a name and select the property it belongs to.

  4. Choose the form type. This is covered below.

  5. Drag fields from the panel on the left onto the form.

  6. Set the submit message, which is what the guest sees after sending it.

  7. Select Save and check the preview.

Choosing the form type

The type is chosen when you create the form. It does not change which fields you can add: every type opens the same builder, with the same list of inputs. What it changes is behaviour, and only for two of them.

Pre Check-in switches on multi-guest check-in automatically whenever a reservation has more than one guest. That is usually what you want, and occasionally not. See Multi-guest check-in.

Payment Form is for taking a payment. It adds one setting the other types do not have, a Payment Unavailable Message, which is what a guest sees when payment cannot be taken.

The rest, Custom, OTA Profiler, Feedback and Lost and found, behave the same as each other. Choose the one that describes what the form is for, because the type is shown on the forms list and is how you will find it again.

Binding and Prefill

Two settings on each field decide whether an answer is only text or something Bookboost can act on. Both are set per field, not for the form as a whole.

Binding maps the field to a guest attribute Bookboost already understands, so the answer lands in the right place on the guest's profile. What is on offer depends on the field: a choice field offers Transportation method, Purpose of stay, Title, Gender and Salutation, while an identification field offers Identification.

Prefill is what fills a field in for a guest Bookboost already knows, so a guest who opens the form from a token confirms their details rather than typing them.

Sending it to guests

  1. Open the campaign you want to send it from.

  2. In the message editor, open the Guest App section at the bottom of the content.

  3. Choose Form.

  4. Pick your form from the list and copy its token.

  5. Paste the token into the button link in your message.

Use the token rather than a URL. The token is what makes the form arrive knowing who the guest is, so their details are already filled in. A pasted link gives you a blank form and a guest who has to type everything.

A form has no static link of its own. Pages do, but the form rows offer only Edit, Duplicate, Preview and Delete. See Static page links for what a static link is and what it costs you.

Reading what comes back

Completed forms are under Guest App > Submissions (Legacy). Filter by form, property, guest first or last name, whether the submission has been marked done, the date it arrived, or the check-in date.

What this does not do

  • Forms have no branding panel. No colours, fonts, or logo settings. What you control is the wording and the structure.

  • The type does not give you a ready-made form. Whichever you choose, you start from an empty builder and add every field yourself.

  • Submitting does not always reach your PMS. Writing data back needs a two-way integration. Without one, the answers enrich the guest profile in Bookboost and stop there.

  • Free-text answers cannot be segmented on. Only fields with fixed options can be used as an audience filter, so ask as a dropdown anything you plan to target later.
