How to understand the numbers in the Occupancy Report

Learn how to generate and interpret the Occupancy Report in Amenitiz, including rooms sold, available rooms, occupancy rate, cancellations and category breakdowns based on stay-date calculations.

Overview

The Occupancy Report shows how many rooms were sold compared to how many were available during a selected period.

It helps you:

  • Monitor occupancy trends

  • Compare room categories

  • Analyse performance by client type

  • Track cancellations

Step-by-step instructions

1. Access the Occupancy Report

  • Go to Reports in your dashboard.

  • Select Reports in the submenu.

  • Scroll to find Occupancy Report.

2. Request the report

  • Tick the checkbox next to Occupancy Report.

  • Click Next.

3. Choose report details

  • Select the email address for delivery.

  • Choose the date range.

  • Click Send reports.


Understanding the report contents

Rooms sold by category and client type

Total number of booked room-nights during the selected period, broken down by:

  • Room category

  • Client type (individual or company)

  • Based on stay dates.

  • Cancelled bookings are excluded.

Client type

Client type is determined by how the guest is marked in the booking:

  • Individual

  • Company

This classification comes directly from the booking details.

Available rooms per category

Total number of room-nights available during the selected period, broken down by room category.

Availability is affected by:

  • Out of order blocks

  • Out of inventory blocks

  • Closed rates

  • Zero or negative availability

Occupancy rate

Percentage of available rooms that were booked.

Formula: Rooms sold ÷ Available rooms × 100

Occupancy may exceed 100% in case of overbookings.

This metric helps evaluate how effectively your inventory was filled during the selected period.

Cancelled bookings

Displays the number of bookings cancelled during the selected period.

Cancellations are counted based on the cancellation date, not the original stay dates.

Cottage bookings and linked rooms

If a cottage (mother room) is booked:

  • Each linked room is counted individually in the report.

  • The cottage itself does not appear as a separate room line.


FAQs

Why don’t cancelled bookings appear in rooms sold?

Rooms sold only includes confirmed or modified bookings. Cancelled bookings are shown separately.


Why does occupancy seem high for cottages?

When a cottage is booked, all linked rooms are counted individually. This is expected behaviour.


Can I export the report to Excel?

Yes. The report is sent by email in Excel format.
