Overview

This article explains how to generate and read the occupancy report in Amenitiz. It helps hoteliers monitor performance by analysing the percentage of available rooms sold over a selected period.

Understanding your occupancy trends is essential for forecasting, planning promotions, and evaluating business performance. However, figures may vary based on seasonality, weekdays, events, weather, and local competition—so they must be interpreted with context.


Step-by-step instructions

  1. Go to the occupancy report

    • In your admin dashboard, click on Reports

    • Select the Reports subsection

    • Scroll to find Occupancy Report in the list

  2. Request the report

    • Tick the checkbox next to “Occupancy Report”

    • Click Next in the pop-up

  3. Choose report details

    • Select the email address where you want the report sent

    • Choose the date range for the report

    • Click Send reports


Report contents explained

The occupancy report includes the following data:

  • Rooms sold by category and client type

    Shows the number of room-nights sold during the selected date range, by room category and guest type (individual or business). Cancelled bookings are not included.

Example: If you have one booking from 1–5 May and another from 4–8 May, the total rooms sold from 1–5 May is 7.

  • Client type determination

    Client type is based on whether the guest in the booking is marked as an individual or a company in the booking details.

  • Available rooms per category

    Calculated as:

    (Number of rooms in each category × number of nights in the selected period) – rooms out of inventory

    Out-of-inventory rooms include those manually blocked or marked out of order on your calendar.

  • Occupancy rate

    Calculated as:

    (Rooms sold ÷ Available rooms) × 100

    Cancelled bookings are not included.

Example: If 9 out of 22 rooms are booked, your occupancy rate is 40.9%. If one booking is cancelled, it drops to 36.4%.

  • Cancelled bookings

    Displays the number of bookings cancelled during the selected period.

Note: The report counts cancellations based on the cancellation date, not the original booking dates.

  • Cottage bookings and linked rooms

    If rooms are linked to a cottage and the cottage is booked, the report displays each linked room as booked. The cottage itself will not appear in the report.

Example: A booking for a cottage linked to Room A, B, and C will show 3 room bookings in the report.

Why don’t cancelled bookings appear?

Only cancellations made during the selected date range are shown.

Why does the occupancy seem inflated for cottages?

Linked rooms are counted individually when a cottage is booked. This is expected behaviour.

Can I export the report to Excel?

Yes, the report is sent via email in Excel format.
