After an application is submitted by an individual, it is the responsibility of the facility administrator to review and either validate or reject the submission based on the provided information and any uploaded supporting documents.
To review and validate an application submission for your facility members, please follow the steps outlined below:
1. Accessing Applications
Navigate to the Applications section from the left-hand menu.
You will see a list of all Vetting applications submitted for your facility.
2. Reviewing an Application
Click "View" next to the application you wish to review.
Carefully examine the details provided, paying special attention to:
Name
Date of Birth (DOB)
Address
Role applied for
Verify that the uploaded documents match the information in the application and adhere to the relevant guidelines.
π It is the facility's responsibility to ensure the accuracy of both the application and the provided documents. If discrepancies are found, the application may be rejected later in the process.
3. Validating an Application
If the application meets the requirements, you must download and complete the validation form.
The validation form can also be found via the link below:
π The validation form must be downloaded and completed using a wet signature (i.e Pen) and re-uploaded to the SmartSafeguarding system
The filled-out validation form can then be uploaded to the application via the 'Upload Validation Form' button.
Only when the validation form has been uploaded, the 'Validate' button appears.
Click 'Validate' and then confirm that you are happy with the information and documentation provided for this application by clicking 'Validate' again.
4. Next Steps
The application status has been updated from 'Awaiting Review' to 'ID Validated'
The application is now submitted to Ireland Active to be processed.
