This guide explains the vetting application process through the Smart Safeguarding system.

Vetting Application Process Overview

The Smart Safeguarding vetting process involves the following stages:

  1. Applicant Submission - You complete and submit your application

  2. Facility Validation - Your facility reviews and validates your documentation

  3. Ireland Active Review - Ireland Active conducts a secondary review

  4. Garda Processing - The Garda National Vetting Bureau processes your application

  5. Ireland Active Review of Results - Ireland Active receives and reviews the Garda's findings

  6. Final Facility Decision - Your facility makes the ultimate decision based on the vetting results


Step-by-Step Application Guide

Step 1: Submit Your Application

  1. Log in to your Smart Safeguarding account at smartsafeguarding.com

  2. Navigate to the "Applications" section

  3. Select "New Vetting Application"

  4. Complete all required fields in the application form

  5. Upload all necessary documentation (identification, proof of address, etc.)

  6. Review your information for accuracy

  7. Submit your application

Step 2: Facility Validation

After submission, your application is automatically forwarded to your registered facility for review:

  1. Your facility administrator will review all documents and information provided

  2. They may contact you if any clarification or additional documentation is needed and may reject your application for your to re-submit

  3. Once satisfied, the facility administrator will validate your application

Step 3: Ireland Active Review

Once approved by your facility:

  1. Your application is forwarded to Ireland Active

  2. Ireland Active conducts a thorough review of your application

  3. If everything is in order, they will submit your application to the Garda National Vetting Bureau

  4. If issues are found, your application may be rejected and you will need to re-submit

Step 4: Garda E-Vetting Completion

The Garda National Vetting Bureau processing stage:

  1. You will receive an email from the Garda National Vetting Bureau

  2. This email contains instructions and a link to complete the online e-vetting form

  3. Follow the link and complete all required information on the Garda system

  4. Submit your e-vetting form

Step 5: Garda Checks and Ireland Active Review

After your e-vetting form submission:

  1. The Garda National Vetting Bureau conducts their background checks

  2. Once completed, the Garda sends the results back to Ireland Active

  3. Ireland Active reviews the findings and updates your application status in the Smart Safeguarding system

Step 6: Final Facility Decision

The final stage involves your facility's review of the vetting results:

  1. Ireland Active forwards the complete vetting information to your facility

  2. Your facility administrator reviews all information provided by the Garda

  3. Based on this information, your facility makes the final decision regarding your vetting application

  4. You will be notified of the decision through the Smart Safeguarding system

Important Notes

  • Application Notifications: You will be notified throughout the process via email

  • Cancellations: You can only cancel your application before your facility validates your documentation. After validation, contact Ireland Active directly
