How to schedule an exam in Surpass

After loading up Surpass, please select the ‘Test Administration’ tab and then select the 'Schedule Page' directly underneath. Click the 'Schedule Test' button in the bottom right hand corner.

Select your 'Centre', 'Subject' and the type of 'Test' you would like to book - 'Practice' or 'Live'.

Select the 'Date' that you would like the learner to attempt the exam, then click 'Next'.

If you do not know the precise date of the exam you do have the option to tick the ‘Multiple day test’. This will allow you to select a multiple day ‘Date Window’. However, we recommend leaving the time settings as the default values where possible.

Click the tick box for the learners that you would like to schedule by searching or scrolling through the pages of lists.

It is recommended to search with candidate numbers as learners can occasionally have the same names. If the tick box is greyed out and cannot be selected a reason may be given in the reason column.

Reasons candidates may not be available include:

  • ‘Not enough time has elapsed’ – the candidate cannot be scheduled for a resit exam for a minimum of 3 days from the previous attempt. The exam can be scheduled during this time but only for a date 3 days after their previous attempt.

  • ‘Candidate is already scheduled’ – The candidate is appearing as scheduled for the exam somewhere else in the system. This can include exams awaiting upload.

  • ‘No exam available’ – If this message shows please contact the Exams Team: exams@eal.org.uk for support. Please see the linked article for a list of details that you will need to include in your email.

When you have selected the learners that you want to schedule click ‘Next’. This screen for 'Delivery & Administration' does not need to be edited. Always click 'Next' to proceed.

The ‘Review’ screen is the final screen in the exams booking process. This screen provides an opportunity to check that the correct learners, exam and date have been selected.

If you are satisfied that all the information is accurate you can click ‘Schedule Test’ in the bottom right of the screen or click ‘Back’ to make any changes.

On the ‘Review’ screen you will see a button ‘Modify Duration’ and columns titled ‘Reasonable Adjustments’ and ‘Duration’.

It is important to ensure that before adding any extra time for candidates a Reasonable Adjustments Request Form has been submitted via Smarter Touch and approved by EAL. Please refer to EAL’s Reasonable Adjustments and Special Considerations Policy for further information here.

When you are satisfied that all the information is accurate click ‘Schedule Test’ in the bottom right of the screen.

The exams will then appear in the ‘Schedule’ screen. If the status shows as ‘Editable’ then you can make changes and delete the exam as required. If it is ‘Locked’, you can’t perform any actions in the 'Schedule' screen and you will need to locate the exam in the ‘Invigilate’ screen.
