How can I apply for reasonable adjustments for my learners?

There are different adjustments that can be applied for EAL examinations. Some of these can be implemented without applying for permission from EAL, but for others your centre will need to apply and the application will need to be accepted and authorised by EAL before you implement these adjustments for your learners.

The document above will go into further detail about all aspects of our policy, but please see below a brief description of the reasonable adjustments we allow for our examinations.


Reasonable adjustments that do not require prior authorisation from EAL:

Centres are allowed to permit certain adjustments without prior authorisation from EAL such as:

  • Bilingual translation dictionaries without extra time of up to 25%

  • Supervised rest breaks

  • Transcripts

  • Amplification equipment

  • Braillers

  • Closed circuit Television (CCTV)

  • Word processors

  • Colour naming by the invigilator for learners who are colour blind

  • Coloured overlays

  • Low vision aid / magnifier

  • Optical character reader (OCR) scanners

  • Prompter

  • Read aloud equipment

However, appropriate records for all such adjustments must be kept on the centre’s files.


Reasonable adjustments requiring prior authorisation from EAL:

If EAL centres require the following reasonable adjustments, they must apply to EAL in line with the process and timeframes contained within our policy:

  • Extra time (including 25%)

  • Practical assistant

  • Reader /Computer Reader

  • Scribe

  • Separate invigilation

  • Modified enlarged paper

  • Braille question paper

  • Sign language interpreter

Centres must apply to EAL using the Smarter Touch platform, as detailed in the next section of this guidance article.

EAL will send written confirmation of the decision.

It is the responsibility of the centre to ensure that any approved reasonable adjustment is applied appropriately.

Requests for reasonable adjustments must be submitted no later than 30 days before the assessment/examination, and no later than 10 weeks before the assessment for modified papers.


How to apply for reasonable adjustments on Smarter Touch

In order to be able to fill out a reasonable adjustments form on Smarter Touch you will need to ensure you have the right access. Only Super Users on Smarter Touch can create and edit the required form on Smarter Touch.

On the home page of Smarter Touch, please locate the 'Start a new...' menu on the right-hand side of the screen. The form you will need is called 'Reasonable Adjustments and Special Considerations (V2)':

From the next page you will be asked to select the qualification for the learner. Click on the 'please select' button and then type in the qualification code in the title field.

Please note: Do not include any pathway letters or numbers when typing in the qualification code or the qualification will not show up in the results. Please also ensure you include the forward slashes in the qualification number.

ie 601/7345/2 would find results but 601/7345/2BI would not.

Once the qualification is found, click on the selection box on the right hand side and click the 'finished' button at the bottom:

Please note: A single form can be used for one learner for one of their qualifications. It will cover any exams the learner needs to sit under that particular qualification.

If the learner is currently completing multiple qualifications then you will need to create a form for each of them. You will be able to use the same evidence for all the applications for one learner.

Once the qualification has been selected you will be able to create the form by clicking the button below:

Please note: When the form is created, a form reference number will be generated on the top left-hand side of the form (please see below an example). Please ensure you keep a note of the number as you will need to provide it as evidence when applying the reasonable adjustments for your learners. The reference number will look something like this:

The form will ask for 6 different things:

  • The candidate name

  • The EAL candidate number

  • The type of request (Reasonable Adjustment or Special Consideration)

  • The learner needs (select all that apply)

  • Special consideration (when applying for Reasonable Adjustments please tick 'not applicable')

  • Evidence for the learner's reasonable adjustments.

Please Note: You will need to contact your EQA first for any special consideration requests. Your EQA will then be able to advise on how to proceed with your request.

When attaching evidence to support your application, please ensure it follows the below requirements.

Supporting evidence for reasonable adjustments may include but is not limited to:

  • Medical Letter

  • SEN Statement

  • Education, Health and Care Plan

  • SpLD Reports

  • Individual education/learning plans or development/support plans

All evidence must be:

  • On headed paper

  • Dated

  • Name of author

  • Signed

  • No older than 12 years old

  • Details the learners disability or requirements or statement of events

Please note: Any evidence that is attached that does not follow the requirements listed above cannot be used to support the application, and we would need to return the application form to the centre. We will always try to clarify why a form has been sent back but if you have any questions at any point, please send us an email: exams@eal.org.uk so we can advise further.

Once the form is completed and you are happy to submit it, please click the 'Save changes' button at the bottom of the page. This will take you back to the Overview Page for the form.

When you are happy to submit the application, please don't forget to click the 'Submit to EAL' button as shown below. Until this step is complete we will not be able to see your application.

When the form has been submitted it will disappear from your home page. Any forms that have been submitted to EAL or been closed will do this. You will be able to search for it using the 'Advanced Search' button on your Home page'.

Once your form (where additional time has been requested) has been approved you will be able to add on additional time for the learner in Surpass. Please see this article for instructions on how to action this.
