How do I add extra time to a learner's online exam?

If you need to add extra time to a learner's online examination you will first need to apply for this through Smarter Touch.

Once the application is approved, you will be able to add on up to 25% extra time for the learner through Surpass. Please see the instructions below showing you how to action this.

Please note: If your learner has been approved for more than 25% extra time then our Exams Team will need to add this on your behalf. In order to action this please book the exam as normal and then email across your request with the following details:

  • Candidate name

  • EAL candidate number

  • Exam code

  • Smarter Touch reasonable adjustments reference form number


Adding on 25% extra time when scheduling the exam

When scheduling the exam please follow the usual process through the 'Schedule' screen.

When you get to stage 4 (Review) you should see the list of learners you have chosen to book the exam for. Simply click the learner you want to add the extra time for so they are highlighted in gold and then click the 'Modify Duration' button on the bottom right of the screen.

A new menu will pop up - please ensure you have selected the correct learner by checking over the Candidate details.

You will be able to enter the new exam duration - this is cumulative so you will need to enter the total exam duration of your choice. The system will automatically calculate how much additional time this correlates to.

You will also need to select a reason for the adjustment. There is a selection of reasons at the top for extra time but if you scroll down to the bottom of the list you will also see the option for 'Other'.

If you choose 'Other' you will be able to type in a reason. We recommend typing in the approved Smarter Touch reference form number for the learner. Please see the example below:

You can then click the 'Okay' button to close the pop-up window and finish scheduling the exam as normal.

Please note: If a mistake is made during the exam scheduling stage (ie the wrong amount of time is given) then you will be able to modify the duration as per the instructions in the next section of the article. Alternatively you can just delete the exam from the Schedule screen.


Adding on 25% extra time after the exam has already been scheduled

If you need to add extra time once an exam has already been booked, then you will be able to do this once an exam shows up in the 'Invigilate' screen (up to 5 days before the exam date).

To start please locate the exam in question by searching in the 'Invigilate' screen. Please click the learner you want to add the extra time for so they are highlighted in gold and then click the 'Modify Duration' button on the bottom right of the screen.

A new menu will pop up - please ensure you have selected the correct learner by checking over the Candidate details.

You will be able to enter the new exam duration - this is cumulative so you will need to enter the total exam duration of your choice. The system will automatically calculate how much additional time this correlates to.
