Why is my learner greyed out when I try to schedule an exam for them?

I'm unable to schedule an exam for a learner.

There are a few reasons why you may be unable to schedule an exam for a learner. Surpass will always provide a reason for this within the Schedule screen itself.

Please see below some error messages you may run into, what they mean, and how you can resolve the issue:


'No exam available for this candidate'

If a learner you are trying to schedule has already sat the exam in question a number of times, you may find their details greyed out in the Candidate Selection Screen. EAL will need to schedule this exam for you. Please see this article for instructions on what you need to provide us.


'This candidate has reached the maximum number of resits'

This exam has restrictions in place, and the learner has already sat their two attempts. Please see this article for further information on this and for a list of which exams have these restrictions in place.


'Not enough time has elapsed since this candidate last took the exam'

There is a 3-day waiting period between attempts for all EAL online exams. Please ensure the date you choose for the exam does not fall within this waiting window after their latest attempt. Please see this article for further information.


'The candidate is already scheduled for this exam'

If you get this error message then this means that there is already a booking on the system for this exam for this particular learner. Please check your schedule and invigilate screens to see if the booking is correct, or whether it's for a previously-booked attempt that was left on the system.

If the booking on the system if for an attempt that was never started, you can void the booking and the learner will be available to be scheduled for the exam immediately.
