The action board is the modal you see when you click a day for a specific employee. It presents all the actions that you can make on the given day including some actions that extend to future days, such as periodical absence.
In this article we explain how to work with the 2020-version of the Action Board, and elaborates on some of the associated functionalities.
The basics
Below image shows the Action Board when there's nothing planned. In order to add a fragment (we need to find a replacement for "fragment" - maybe "event") to the day - such as a shift - simply click on the timeline at the time the shift should start. In the below case a shift is about to be added at 10:30.
In case certain shifts that are applied on a regular basis, it's possible to create "Quick Actions" (formerly known as "Favourite hours"), as shown in the section below the timeline. Simply click on one of these quick actions and it'll immediately be added to the day. If no quick actions has been created, simply add a shift from the timeline and click the star-symbol.
Besides adding events via the timeline or via quick actions, this view also allows for full day actions, such as applying an absence for the entire day or lending out the employee to one or more departments.
Working with fragments, such as shifts
In order to add a fragment, simply click in the timeline where you'd like the fragment to start. Per default, a fragment is always a shift, but it could also be an absence or lendout (shift in another de).
Fragments can be edited by dragging the edges or moving the entire bar in the timeline. It's also possible to work with the time fields, which is a drop-down list that also supports inputs. You can see an example in the image below.
In the image the fragment is a shift, but the fragment can be converted to an absence or a lendout to a specific depr with a single click.
Shifts
Shifts contain a range of functionalities, such as the intended zone/area the employee should work in, the tasks that must be carried out and when breaks should be taking throughout the day.
Zones
With zones it's possible to specify in more details what the shift entails, for instance whether the employee should work in the "cashier" zone, "fitting room" zone or a completely third zone. It's also possible to use zones for other things, such as whether it's a morning shift, a midday shift or an evening shift.
It's only possible to pick one zone for a shift, which will change the colour of the given shift, making it easy to quickly spot the zone right from the schedule view.
This functionality needs to be enabled and the zones need to be created by the administration.
Breaks
Breaks can be handled in two ways; as a simple duration or by adding it in specific time-intervals. To add a break, click the "Add break" button on the right side.
When adding a simple duration, the system still places the break in the background in the middle of the shift. This is required to calculate the effect it has on working hours and bonuses.
In order to have more control over this, use break placements, which makes it possible to add one or more breaks at any point throughout the shift. See an example of this in the image below.
It's also possible to specify if the break is an unpaid or paid break. If it's an unpaid break the duration of the break will be deducted from the total working hours. If it's a paid break, the duration of the break will remain a part of the total working hours.
Both the functionality to use placement of breaks and to use paid breaks need to be enabled by the administration.
Tasks
Tasks are objectives that can be planned for an employee throughout the shift, such as visual merchandising or stock taking. To add a task, click the "Add task" button on the right side.
In the schedule there's the "Productive hours" KPI, which tracks hours of sales-capable employees on the floor, and tasks can effect these hours depending on the type. If a task takes the employee away from the floor and thus makes the person non-capable of sales, these hours will not count towards the "Productive hours" KPI.
This functionality needs to be enabled and the task types need to be created by the administration.
Bonuses
Most bonuses are applied automatically, such as the bonus type "Inconvenient hours", which applies based on the weekday and the time of the day. In some exceptions, bonuses have to be applied manually, and this can be done by clicking the "Add bonus" bonus in the right side.
Bonuses can be applied as a duration or as a time-interval.
Bonus types are created by the administration and only if the bonus is set to be manual can it be applied through the Action Board.
Notes
For specific cases it's possible to add notes to a given a shift. This note can be seen by the employee from the web app and the mobile app. To add notes, click the "Add note" button on the right side.
Absences
Absences can be applied in two ways; as a fragment for a specific time-interval and as full day action.
Fragment
When it's a fragment, the fragment is first created whereafter it's converted to an absence. Simply click the absence button and thereafter pick the specific absence type. In the image below, an absence fragment of child sick has been added.
Full day
With full day actions, an absence is applied for the full day. By clicking on the "Add day absence" in the upper-right corner all the available absence types appear.
There's two type of absence types: timed absence and untimed absence. A timed absence is a fragment that counts based on the amount of hours it's applied. An untimed absence is non-fragment that applies for a full day and counts based on a fixed calculation, such as the employee's contract hours.
Timed absence
When adding a timed absence, all the shifts are converted to absences. In the image below, there's two shifts, one from 10:00-13:00 and one from 14:00-18:00. After applying the timed absence, both of these will be converted to the given absence.
Untimed absence
When adding an untimed absence, the absence will apply for the full day as shown in the image below. Furthermore, when adding an untimed absence it's also possible to make them periodical, which will make the absence extend into the future based on the selected date.
Lendout
Lendout can be applied in two ways; as a fragment for a specific time-interval and as an open lendout, which allows the managers in the other departments to plan shifts for the given employee at their own will.
Fragment
When it's a fragment, the fragment is first created whereafter it's converted to an lendout. Simply click the lendout button and select the department to lend out to. In the image below, a shift from 11:00-16:00 has been lent out to 2. Århus.
Open lendout
An open lendout is added by clicking on the "Add day lendout" button in the upper right corner. From here the departments for the open lendout can be added. When a department is added for an open lendout, it means that the managers in the other departments are able to plan for the given employee on the same day, but not where there's already a shift in their own department.
Open lendouts can be added for multiple departments and it can be applied for a single day as well as longer period of time.
Multiple fragments
It's possible to add as many fragments - whether that be shifts, absences or lendouts - for a single day. In order to add a second fragment, simply do the same as when adding the first fragment.
In order to edit a specific fragment, click the fragment, whereafter the edit options will appear below.
To remove a fragment, click the "Remove shift/absence/lendout" button in the right side. To remove all fragments, click the "Clear day" button in the lower right side of the timeline.
