How to lend out an employee

In SameSystem, you can plan lend-outs in different ways, depending on your needs:

A lend-out shift is a shift that has been assigned an employee and placed in another department. In SameSystem, lend-outs can be planned in many different ways, depending on what suits your situation best: Employee lending in SameSystem can be managed in two ways:

  1. Lending an employee for a specific shift.

  2. Marking an employee as "Open for loans" for a defined period. Each method serves different operational needs and has specific rules for implementation.

This gives you flexibility when planning across departments.


How to plan a lend-out with specified start- and end time

Start by navigating into your schedule, and create a shift as if it was a normal shift belonging to your own department. Enter the correct start- and end time for the lend-out, and remember to set the correct break time (0 minutes if no break).

Click on the Lend out button below the green shift timeline, to convert it to a lend-out shift 👇🏽

A stippled border will surround the shift, and its color will become light green, to indicate you are now working with a lend-out shift

Continue by selecting which department the shift should be lent to

Press Submit once you've checked that the start-, end,- and break time is correct, and belongs to the right department ✔️

It is possible to change your lent out abbreviation in the schedule in the settings for Departments. Loaned shifts are visible in both the source and destination departments. In the source department, these shifts are displayed as loaned shifts to the destination department. This visibility helps maintain transparency and coordination between departments.

The shift will turn into a grey color in the schedule to indicate it is a lend-out shift 👇🏽

It is possible to change your lent out abbreviation in the schedule in the settings for Departments.

💡 Note: Make sure to double-check that the shift details are correct.

Shifts are generally editable only by the manager who created them in their own department. For example, a manager in Department A cannot edit a shift that was created in Department B. These rules ensure clear accountability and prevent unauthorized changes to schedules.

Once you save it, the shift belongs to the department you placed the shift in, meaning you cannot edit any details 👇🏽

Important: If the lend-out shift needs to be changed or corrected after it has been saved, you must contact the manager in the department where the employee has been lent out. Only that department can edit the shi

Troubleshooting: "Lend out can not be applied. Reason: no planning period"

Both departments must have a planning period covering the date of the shift. If either the lending or the receiving department has no period created for that date, the lend-out cannot be saved.

Check that a planning period exists for the date in both departments. If one is missing, create it via Schedule → Plan new period (see Create a new schedule).
