Note: this Guide uses the NSOC category as an example, however, the same process applies to all audit categories
1. There are two ways of doing this, but both of them begin on your Manage Audits page:
2. From here, you can choose to see either (a) all incomplete Actions, or (b) all the Actions, both completed and incomplete, on one area from one audit.
a) To see all the incomplete Actions, click Actions on your Manage Audits page:
By default, the next screen will show you all incomplete Actions that exist throughout the current audit category. Use the filters at the top to select a Functional Area, Responsibility Group, or Risk level, or any combination of these:
To mark an Action as complete, tick the box in the right-hand column here:
Tick off as many Actions as you need, then scroll to the bottom of the page and click Submit. You will then see a popup box where you need to select the date the Actions were completed on, and you can also enter a comment if you wish. Bear in mind that if you do enter a comment, and if you have also ticked more than one Action, the identical comment will be shown against each Action you have ticked.
Once you have supplied the date, entered any comment, and clicked Submit to close the popup box, the ticked Actions disappear from this screen, as it only shows incomplete Actions.
b) To see both complete and incomplete Actions from a single audit, click on Closed audits on the Manage Audits page:
On the next screen, find your Functional Area, then click on the number on the right, which tells you how many completed audits there are for that area. (Tip: to find the right Functional Area, it may be helpful to narrow down the list by using the location filters near the top of the screen):
Having found your Functional Area and clicked on the number, the next screen lists all the closed audits for that area, one audit per row. The Actions column tells you how many Actions there were from each audit, and includes both complete and incomplete Actions:
If the number of Actions is greater than 0, you can click on it to reveal a list of the Actions:
The column on the right tells you if these have been completed or not; if they have, you will see the date of completion. Regardless of whether this column says Incomplete or Complete, you can click on the entry to change it. When marking it complete, you can also add a comment if you wish (comments cannot be added to incomplete Actions).
3. Actions that are marked Complete will be recorded as such on the audit’s Failure Report. The date when the Action was completed will appear in the column headed Rectification Actual:
The cell will be coloured green, as in the example above, if the Action was completed by its target date (seen in the column to the left of it). If the Action was completed after that date, the completion date will still appear, but the cell will be coloured red instead of green. How much time you get between the audit and the target date for rectifications depends on the Risk level for the area.
