A. Logging in to the mobile app
1. Start by entering your email address, then click Next:
2. On the next screen, you will be given a choice of two systems to log into. One will be your existing or legacy Micad Audit system, and the other will be Micad Pro:
If your Audit system has not yet moved over to Micad Pro, select the first option; if it has, select the second.
Either way, on the next screen you will need to enter your password.
3. Next, you will be asked to enter a PIN number. You are creating this PIN number for your session. This means that the PIN you create remains valid until you logout of the mobile app. Next time you login, you will be asked to create a PIN again.
Like most apps that you have to login to, Micad Audit will time you out if you don't use it for a while (10 minutes in this case). When this happens, you can use your PIN to unlock the app and continue auditing. This means you don't need to re-enter your email address and password over again, so the PIN speeds up the process. It also means that once logged in, you can unlock the app without wifi.
Having created your PIN, the app will ask you to enter it a second time:
This helps to ensure you remember it. You only need to press 'Start again' if you are not happy with the PIN you entered on the previous screen. Pressing Start again takes you back to the previous screen to create a fresh PIN.
B. Carrying out an audit
Note: this Guide uses the NSOC category as an example, however, the same process applies to all audit categories
1. Once you have logged in and created your PIN, the app will download any live audits assigned to you. Tap on one to begin.
2. Press Start auditing:
3. You will see a list of the rooms in the Functional Area that you have selected:
4. When you tap on a room, you will see a list of the elements which are assigned to that room on the system:
When needed, elements can be added to a room by tapping on the + at top right, or deleted by tapping on the element and then the waste bin symbol at top right. Added and deleted elements stay added or deleted in future audits.
5. Where necessary, fail an element. When you tap on an element, you are always presented with the same question: Does it meet the standard? Below this is a range of answers, starting with Yes, followed by a variety of ways in which it might fail the standard. Here’s an example for Medical equipment:
(There is usually no need to select Yes, as you can pass the elements that meet the standard in one go at a later point.)
6. If you have selected a failure reason (a non-Yes answer), you will next see a choice of actions to be taken. In the example below, we have selected the answer ‘Blood’ to the question ‘Does it meet the standard?’ against the element ‘Medical equipment’. These are the actions available:
This screen has three tabs, visible in the grey area on the left. From top to bottom, these are for Actions, Comments, and Photos. An action must be selected (unless you want to go back and change your answer - in that case, press Cancel). Comments and photos may be entered, but you don't have to.
Comments can be deleted by using the Clear comment button which appears when you are using the Comments tab:
If you wish to delete a photo or photos, the select button enables you to pick which ones to delete:
Press Select, then tap any photo you wish to remove. A tick appears on the selected photo(s). Press Delete to remove them:
If you've changed your mind, and you want to keep the photo after all, press the Cancel button at the bottom of the screen, next to the Delete button (not the Cancel button at top left).
Once you're happy with what you have entered on all three tabs, press Save at top right. This will save the content of all three tabs and return you to the list of answers for that element.
In the same way, pressing Cancel at top left will return you to the list of answers without saving your changes to any of the three tabs.
7. Once you have recorded all the fails for the room you're in, you have the option to pass the remaining elements in that room in one go. You can do this by going to the list of elements and then tapping Apply default answers at the bottom of the screen:
8. If you wish, you can also add a Yes Comment to specific elements. This means you are passing that element – you are answering Yes to the question ‘Does it meet the standard?’ – but you are recording a comment on it as well. To do this, select the element and give the Yes answer a long press – hold it down for a second or two instead of just tapping it. A comments box will open.
9. When you have audited enough rooms, go back to the audit details screen, where you will now see Continue and Finish buttons:
When you press Finish, one of two things will happen.
a) If the audit does not require a sign-off, you will see a notice which asks you to confirm you want to close the audit:
If you click OK, you are confirming that no further changes need to be made to this audit, and its results can now be 'set in stone'.
b) If the audit does require a sign-off, the sign-off screen will appear. All the boxes must be completed except the Comment box, which is optional.
If you toggle the switch to say the signatory is not present, the Sign button is greyed out, and so ceases to be required:
Once all required information is entered, the Complete button at top right goes blue and becomes available, including directly from the signature page:
C. Other app features
1. While auditing, the breadcrumb trail button at top right
can give you a quick reminder of where you are:
2. The settings button at top right
gives you the option to prompt a sync:
3. From the page with the list of areas, the face icon at top right (next to your username) gives you the option to open the Support page:
From the Support page, you can raise a ticket, or start or send a log:
Clicking Manage audit logs enables you to choose an audit whose log you want to send; the app keeps the 20 most recent audits.
