Manage your team from the Teams tab in your dashboard. You can invite colleagues and set up subteams for different departments. You can also transfer funds between subteams and set reason codes for reporting.
β
π Adding team members
Under Manage my team, you can grant colleagues access to send vouchers using your account's wallet. You have two options:
Individual invite: enter your colleague's email address and click Send invitation
Bulk upload: click Bulk upload team members to invite multiple colleagues at once using a CSV file
Once a team member accepts their invitation, they can send vouchers using your account's shared wallet. New members are added as Participants by default. See Understanding team roles and permissions for what each role can do.

ποΈ Creating subteams
Subteams let you create separate funding pots for different departments. For example, you can keep a Social Care budget separate from a Housing budget.
To create a subteam:
Scroll to Manage subteams in the Teams tab
Enter the subteam name and the email of the subteam admin
Click Create
Use Bulk upload subteams if you are setting up several departments at once.
β
π· Transferring funds to subteams
Once a subteam is created, Admins can move money between the main wallet and the subteam's pot. To start a transfer:
Find the subteam in your list and click the three dots at the end of the row
Select Transfer funds
Choose Add to move money into the subteam, or Withdraw to move unspent funds back into the main wallet
You can only transfer Available Balance. Funds tied to live voucher links that have not yet been claimed or expired cannot be moved.
β
π Setting up reason codes
Reason codes are tags senders must select when sending a voucher. For example: Winter Fuel Support, Free School Meals, or Crisis Fund. They help you categorise sends for reporting.
To set them up:
Scroll to the Reason Codes section at the bottom of the Teams tab
Type a reason into the box and click Save
Repeat for each code you want to offer
Once you have added at least one code, the requirement checkboxes will appear. Tick Require on my team, Require on all my subteams, or both
Only Admin users can add or edit reason codes.
β
π‘ Other subteam options
In the same three dots menu next to a subteam, you can also:
Edit name: rename the subteam
Set sending methods: restrict a subteam to sending vouchers by email or link only
Delete subteam: remove the subteam entirely. See How do I delete a team member or subteam? for the full steps
Account Admins can see all transaction history across all subteams. This gives you local autonomy with central oversight.
