Links and Password Resets

The user list is accessed from the System Administration menu;

(Note: real email addresses have been redacted)

The columns to the right of each user’s line are resend welcome email and set password.

Note that no symbols appear in the first line, ‘Debbie Smith’; this is the user logged in, and users cannot change their own credentials.

Resend welcome email: when a user is first entered on to the system, an email is automatically sent to their email address containing a link which takes them to a screen to set their password. This link is valid for 24 hours, and can be used only once. The first of the two new columns contains an envelope symbol. Where this is coloured blue, it means the user has not logged in for the first time and clicking on it sends an email with a new link. This is useful if the first link has not been used within the 24-hour expiry limit.

Set password: the second column contains red ‘padlock’ symbols. Clicking on this enables a manual reset of the user’s password;

Clicking on the red padlock symbol brings up the above left dialog box. The example to the right shows than DepenSys is accepting this as a strong password, with the underscore having turned green.

Please note: this feature should only be used as a last resort where the user is unable to reset their own password using the ‘forgotten password’ option on the logon screen. The system only allows strong passwords using at least 10 characters, a combination of upper and lower case letters, numbers and symbols. Please use complex passwords; easy to guess passwords such as Password_1 must be avoided! Please check your IT Department’s policy on passwords.
