Duplicate vs. copy to... functions

Use this option if you want to use an existing processing activity as a template, for example, but need to adapt it for another organisational unit.

You can choose between

  • Duplicate

    • Creates a 1:1 copy of the activity including all organisational unit(s)

    • The copying user is the ‘Assigned to’ user

  • Copy to....

    • You can set the organisational unit responsible for the newly created activity in advance

    • The existing Responsible organisational unit and Further organisational unit(s) are removed.

    • The copying user is the ‘Assigned To’ user

Examples of duplicating vs. copying To...

Duplicate

  • Eldin Expert, responsible for HR, has received information that there is a new processing activity ‘Contract management for trainees’. Due to the fact that in some cases they may be minors, he wants to create a new processing activity.

  • To save time, he makes a 1:1 copy based on the processing activity ‘Contract management for employees’ and simply changes the corresponding data, such as person group.

Copy to...

  • Barbara Basic has set up a new telephone system for her location

  • Previously, the entire operation was taken over by a head office (e.g. holding company or similar), now locations can decide for themselves.

  • There is a group VT: Telephone system operation

  • Barbara's administrator has assigned this processing activity as follows:

    • Responsible organisational unit: Caratraining > Group Function

    • Further organisational units: ALL UNITS

  • Result: All units have read access to this processing activity

  • Barbara selects Copy to... and specifies her unit as the organisational unit

    • A copy is created with the chosen Responsible organisational unit

    • The existing Responsible organisational unit Group Function and Further organisational unit(s) are removed.
