See a guest's reservations from a ticket

Every stay a guest has with you, filtered by current, future or past, with room, rate plan and dates, and a link straight into the reservation in your PMS.

A guest asks about their room, or their dates, or whether breakfast is included. You do not have to leave the ticket to answer. The Reservations panel beside the conversation lists every stay attached to that guest, and links straight into the booking in your PMS.

Open a ticket in the Unified Inbox and expand Reservations in the panel on the right. The count beside it tells you how many stays the guest has.

Filter by which stay you mean

A guest with a history has several bookings, and usually only one of them is the reason they are writing. The filter at the top of the panel narrows the list, and each option carries its own count.

  • All stays. Everything on the profile.

  • Current stay. The guest is in house now.

  • Future stays. Booked but not arrived.

  • Past stays. Already checked out.

The counts alone answer a question. A guest showing a current stay is on site and probably needs something now. A guest with past stays and no current one is a returning booker, which is worth knowing before you choose your tone.

What each reservation shows

Each stay is listed under its reservation reference, with:

  • Status of the reservation.

  • Property. Which of your properties the stay is at. Worth checking on a group account, because a guest can hold bookings at more than one.

  • Room. The room number or allocation.

  • Rate plan. The rate the booking was made on, for example "Booking.com Best Available Rate Room Only". This is usually what settles a question about whether breakfast is included.

  • Check-in and Check-out dates.

  • Guest type. Whether this guest is the primary guest on the booking or someone else on it.

  • Guests. How many people, for example "2 adults".

  • Total. The value of the reservation.

  • PMS. A link that opens this reservation in your PMS. See below.

See all at the bottom of the panel opens the full list when a guest has more stays than the panel shows.

Opening the reservation in your PMS

The PMS line carries a link into the booking in the system it came from, so you can go from a guest's message to their booking record in one step instead of searching for it by name or reference.

The link is named after your PMS. On a Mews account it reads Open in MEWS; on another PMS it names that system instead. What it does is the same either way.

This is the fastest route for anything Bookboost does not hold, changing a rate, adding breakfast to a booking, or checking a payment. Read the reservation here, act on it there.

Seeing what the guest is worth

The Reports panel, just below Reservations, uses the same stay filter and shows Total stays by property and Total spend, with a line per reservation. Switch the filter to Past stays and you have a returning guest's history with you at a glance.

What this does not do

  • It is not a booking screen. You can read a reservation here, not change it. Amendments happen in your PMS.

  • Reservations follow the guest profile. Only stays attached to this profile appear. If the same person booked under a different email address or phone number and the profiles have not been merged, those stays sit elsewhere.

  • Your property access filters it. You see stays for the properties you can reach and no others. See Property-level data visibility in the Unified Inbox.
