Apaleo integration limitations and things to know

What the Apaleo integration does not do today, and the operational detail to plan around.

Introduction

The Apaleo integration covers most day-to-day guest communication needs, but there are a few things to know before you rely on it. This article lists the current limitations and the operational points worth planning around.

How Apaleo structures data

  • No separate guest record. Guest data in Apaleo is tied to a reservation and folio, not a standalone guest profile. Updates from Bookboost change the guest on the reservation.

  • Debtor may have no email. Because the debtor is copied from the primary guest, a debtor can have no email. Bookboost merges profiles to keep a valid email on the record. See How Apaleo debtor profiles work.

Writing data back and tokens

  • Notes sync as plain text. Apaleo comments sync into Bookboost as raw text, with no formatting.

  • Payment authorisation links are not yet available as tokens. Apaleo supports links to capture a guest's payment details for authorisations and deposits, but these are not yet available as tokens in Bookboost.

Online check-in

  • No checked-in status is written back. When a guest completes the online check-in form, their submitted details are written back to Apaleo, but Bookboost does not set a checked-in or pre-checked-in status in Apaleo. Apaleo does not expose a dedicated pre-check-in status that Bookboost surfaces today, so front-desk staff cannot see at a glance in Bookboost whether a guest has completed online check-in.

Reservation time updates

Updating a reservation's arrival or departure time from a form is available for Mews only. It is not supported for Apaleo today.

Operational best practices

  • Avoid duplicate profiles at booking. When creating a reservation in Apaleo, select the existing guest and booker details rather than re-entering them, to avoid creating duplicate profiles.

  • Disconnect from the Apaleo side. To remove the integration, disconnect it from Apaleo. Removing it only on the Bookboost side does not stop Apaleo from sending updates.
