πŸ“… Understanding Reservation Filters in Bookboost Audiences

Introduction

When building an audience in Bookboost, filters are the rules that determine which guest profiles are included in a segment. This article covers Reservation filters β€” filters based on the details of a guest's booking, rather than who the guest is as a person.

These filters allow you to segment guests by check-in and check-out dates, booking behaviour, stay details, financial data, and more β€” helping you send the right message at the right moment in the guest journey. 🎯

Main Concept

Reservation filters target data linked to a guest's booking in Bookboost, synced from your PMS. Each filter has an Include or Exclude toggle:

  • Include β€” only guests whose reservation matches the condition are kept in the audience.

  • Exclude β€” guests whose reservation matches the condition are removed from the audience.

Filters work with AND logic β€” guests must meet every filter you add to be included.

Filters

πŸ“… Days Booked Ahead

Filters based on how many days in advance the reservation was made.

  • Min β€” minimum number of days ahead (e.g. 1).

  • Max β€” optional upper limit (checkbox, unchecked by default).

  • Exclude selected β€” inverts the filter.

  • Example ranges:

⏰ Estimated Time of Arrival

Filters based on the guest's expected arrival time.

  • Time range β€” From / To (default: 00:00 to 23:59, full day).

  • Exclude selected β€” inverts the filter.

  • Example use cases:

πŸ“… Guest Check-In Weekdays

Filters by which day of the week the guest checks in (e.g. Monday, Friday).

  • Select one or more weekdays.

  • Exclude selected β€” removes guests checking in on the selected day(s).

  • Useful for differentiating weekday vs. weekend arrivals.

πŸ“… Guest Check-Out Weekdays

Filters by which day of the week the guest checks out.

  • Select one or more weekdays.

  • Exclude selected β€” removes guests checking out on the selected day(s).

  • Useful for targeting guests leaving on busy vs. quiet days.

πŸ“… Guest Checks In

Filters based on a specific check-in date.

  • Dropdown options:

  • Date input β€” select the date.

  • Exclude selected β€” inverts the filter.

πŸ“… Guest Checks Out

Filters based on a specific check-out date.

  • Same dropdown options as Guest Checks In (Exact, Between, After, Before).

  • Date input β€” select the date.

  • Exclude selected β€” inverts the filter.

πŸ›οΈ Number of Guests

Filters based on the number of adults or children within a reservation. Two separate fields:

  • Number of adults (default: Any number)

  • Number of children (default: Any number)

  • Exclude selected β€” reverses the logic to exclude matching guest counts.

  • Example use cases:

πŸŒ™ Number of Nights

Filters based on how many nights the guest is staying. Options:

  • Exactly β€” guest stayed precisely X nights.

  • At most β€” guest stayed X nights or fewer.

  • At least β€” guest stayed X nights or more.

  • Between β€” guest stayed within a range (e.g. 3 to 5 nights).

  • Any number β€” no restriction on nights.

  • Exclude selected β€” inverts the filter (e.g. everyone except one-night stays).

🏒 Properties

Filters by which physical property the guest is associated with (e.g. Building 1, Building 2).

  • Select one or more properties from the dropdown.

  • Exclude selected β€” removes guests associated with the selected property.

  • Useful if you manage multiple venues or locations.

πŸ’³ Rate Plan

Filters based on the rate plan attached to a reservation (e.g. Bed & Breakfast, Room Only, Corporate rate).

  • Click Select rate plans to choose from available options.

  • Exclude selected β€” inverts the filter.

  • Helpful for targeting guests by booking type.

πŸ”’ Rate Plan Code

More granular than Rate Plan β€” filters on the specific internal code tied to a rate plan (e.g. "BB2024").

  • Type or select the rate plan code(s).

  • Exclude selected β€” inverts the filter.

  • Useful when you have many rate variants and need precision.

πŸ’° Reservation Balance

Filters guests based on the monetary balance tied to their reservation.

  • Set a specific value or range.

  • Exclude selected β€” inverts the filter.

  • Useful for targeting guests who owe money or have credit remaining.

πŸ“… Reservation Booked At

Filters based on the date/time the reservation was made.

  • Dropdown options: Exact, Between, After, Before.

  • Date/time input β€” select the date.

  • Exclude selected β€” inverts the filter.

  • Good for targeting guests who booked within a specific time window (e.g. last 7 days).

🏒 Reservation Debtor Is Company

Filters reservations where the debtor (the one being billed) is a company profile rather than an individual.

  • Include β€” only reservations billed to a company.

  • Exclude β€” only reservations billed to an individual.

  • Useful for separating corporate bookings from personal ones.

πŸ“ Reservation Has Submitted Form

Filters based on whether any guest on the reservation has submitted a specific form.

  • Select the specific form from the Submissions dropdown.

  • Exclude selected unchecked β†’ includes guests who have submitted the form.

  • Exclude selected checked β†’ includes guests who have not submitted the form.

  • Good for chasing up guests who haven't completed pre-arrival forms.

πŸ”— Reservation Linked to Company

Filters reservations that are linked to a company, regardless of who the debtor is.

  • Include β€” only reservations with any company association.

  • Exclude β€” only reservations with no company association.

  • Slightly broader than "Debtor Is Company" β€” the reservation just needs to have a company link.

πŸ“¦ Reservation Set

Filters guests whose reservation is part of a set (a group of linked reservations).

  • Include β€” guests belonging to a reservation set.

  • Exclude β€” guests not part of a set.
