Anonymise a guest

What anonymising a guest removes, what it keeps, and why it cannot be undone.

A guest asks you to remove their personal data. Anonymising their profile replaces the details that identify them with anonymous values, so the guest can no longer be identified, targeted, or contacted through Bookboost. Anonymising is not deletion. The reservation is kept, including its dates, room type and booking reference, because a hotel is usually required to retain it. What is removed is the guest's identity on it: name, email address, and phone number.

Before you start

  • It cannot be undone. Once a profile is anonymised, the personal data cannot be recovered.

  • Your PMS is separate. Anonymising in Bookboost is not pushed back to your PMS. If the guest's data also needs removing there, do that in the PMS as well.

  • Check what the guest is actually asking for. A guest who only wants to stop hearing from you does not need anonymising. See Stop a guest from receiving campaigns.

How to anonymise a guest

  1. Go to Profiles in the left menu and open Guests.

  2. Find the guest and select their name to open the profile.

  3. Select the three dots at the top right of the profile to open the actions menu.

  4. Select Anonymize guest.

  5. Confirm the action.

The guest's identifying details are replaced with anonymous values, and the profile stops appearing in audiences and campaign targets.

What this does not do

  • It does not reach your PMS. Anonymising here changes the record in Bookboost only. Remove the data in your PMS separately if the request covers it.

  • It acts on one profile. Anonymising is done from an individual profile, not from the Master Profile, which is a read-only view. If the same guest exists as more than one record, each one is anonymised separately. See Master Profile.

  • It is per guest, not per reservation. If a booking has more than one guest on it, each profile is anonymised individually, and the number of guests shown on the reservation does not change.

  • It does not remove the reservation. Dates, room type and booking reference are retained. Only the guest's identifiers go.

  • It does not decide your legal position. Anonymising is a tool for actioning an erasure request in Bookboost. Whether a particular request is satisfied, and what else it covers, is a judgement for your hotel.
