How to action a low stock warning on Atlas eMAR

A low stock warning will appear on Atlas eMAR if a resident will imminently run out of stock. This stock warning can be adjusted so that it will appear when the resident has from 0 days to 28 days left in stock. The Atlas device is automatically set up to show an item as low in stock when there are 9 day's worth of stock left as standard.

To action a low stock warning follow this process;

1. log into the Atlas device and select the manage stock icon, located below the stock heading. Select low stock.

2. Select the resident in question from the list, and then select the medication you wish to action by click the action icon. This will tell you the current status of the item if known, for example, if there has already been a prescription requested, the item requires to be booked in or the item will just be displayed in red to be actioned.

  • By selecting order interim you will then be asked to enter the amount of medication required and can request email copy or print the interim order via Atlas central to send to the Pharmacy/surgery to order this medication.

  • By selecting ok the user is only acknowledging the notification displayed on screen and not actioning the low stock warning. The item will remain on the low stock screen until the recommendation has been actioned e.g the item is book in, an order has been placed or the stock figure is updated manually.

  • By performing a stock take you are acknowledging that the stock level is incorrect and needs adjusting, the resident is not low in stock of this particular medication.

  • If you select ignore then the medication will no longer appear on the low stock list; this could be because the resident is stopping the medication imminently or for a number of other reasons. Its important that the ignore option is only used when appropriate as no further low stock notification will be generated until the next supply has been booked in.

To modify the low stock warning prompt follow this process:

1. log into the Atlas device and select the options icon in the top right-hand corner next to the log out option.

2.Select the Update Low stock settings option from the list and adjust the amount of days warning as preferred.

3. Select update to complete the change.

Note; its important to inform all staff members if the low stock prompt has been amended in the home to avoid notifying staff later than expected and processing orders late.
