1. How do I start my application?
You will need a facility sign-up code from your Facility Administrator before you can begin.
Contact your administrator directly to get this code — you cannot proceed without it.
2. What’s the difference between the sign-up verification code and the email verification code?

3. How do I complete the NVB1 Form?
You must print the NVB1 Form and sign it using a wet signature (a handwritten signature in ink).
Digital, scanned, or typed signatures are not accepted.
The applicant must sign the NVB1 form.
The NVB1 form will be automatically generated for you within the SmartSafeguarding system when you create your application.
Once signed, the NVB1 form must be uploaded to your application. You can either scan the document or take a clear photo of it for upload.
4. What documents can I upload as Proof of Address?
The National Vetting Bureau (NVB) requires proof of address to be dated within 6 months of your application date.
Accepted documents include:
Utility Bill (gas, electricity, television, broadband, waste, TV licence) – within the last 6 months
(Mobile phone bills are not accepted)Bank Statement from a recognised bank (not from private money lenders or Revolut)
Building Society Statement
Credit Union Statement
Credit Union Passbook
Correspondence from a Government Department
Letter from the local Council confirming residency
Note: If the applicant is under the age of 18 and doesn't have one of the documents outlined above, they can provide a letter from their school confirming their name, address, and DOB can be used.
5. What happens if my proof of address document has sensitive information visible?
When reviewing vetting applications, we only care about the name, address and date on the document provided; however, the full document must be uploaded on letterheaded paper and must not be cropped.
Therefore, if you are uploading a document with sensitive information, i.e a bank statement, please upload a photo of the full document; however, you may cover the sensitive information, such as transactions, with a blank piece of paper for the scan/photo.
6. Can I upload a proof of address document which has multiple names?
Yes, it is fine to upload a proof of address document which is accepted by the National Vetting Bureau and has another individual's name on it.
As long as the name of the individual applying for the application matches that on their profile and NVB1 form on SmartSafeguarding.
7. What documents can I upload as Photo Identification?
Accepted photo ID documents are:
Passport (from your country of citizenship)
Irish Certificate of Naturalisation
National Identity Card (EU/EEA/Swiss citizens)
Irish Driving Licence or Learner Permit (new credit card format)
8. What happens if my documents don’t meet the requirements?
If your documents are:
Out of date (older than 6 months for proof of address)
Missing required information
Signed incorrectly
Your application will be delayed until corrected documents are provided.
