Prerequisite: This functionality is only available to workspace admins.
Introduction
The list of connectors a user sees on their Connectors page depends on which connectors the workspace admin has enabled for the workspace.
Enabled connectors are visible and available for selected users in the workspace.
Disabled connectors do not appear for end users and cannot be connected or used.
As an admin, you control which connectors are available at the workspace level.
Note: Connectors are opt-in which means that they are disabled by default and workspace owners need to go into the workspace settings and configure them
How to enable a new connector
1. Open Workspace settings.
2. Go to the Connectors tab to view all the connectors that are currently available in your workspace.
3. Click Add connector
4. Select the connector you want to enable, e.g. AWS
5. Select who should be able to connect to the connector, either everyone in the workspace or individual assets that you select
How to modify availability after enabling a connector
1. Open Workspace settings.
2. Go to the Connectors tab to view all the connectors that are currently available in your workspace.
3. Find the connector you want to modify in the list and click on it
4. Update the availability settings and click Save.
Note that if no one has been given access to the connector, it will be removed from your workspace settings and you have to set it up again if you want to enable it again.
FAQ
Q: What happens if an admin disables a connector that already has active user connections?
A: Any existing user connections for that connector will move from the Connected state to Unavailable state. This clearly indicates to end users that the connector has been disabled at the workspace level. While in the Unavailable state, users cannot chat with or otherwise use that connector.
Q: What happens if an admin enables a connector that some users have in the Unavailable state?
A: When an admin re‑enables a connector at the workspace level, Sana automatically tries to restore the connection for every user who previously had that connector connected (and now sees it as Unavailable):
If the reconnection succeeds, the connector returns to Connected for that user.
If the reconnection fails (for example, because access tokens have expired or permissions have changed), the connector changes to Disconnected and the user must manually reconnect it from their Connectors page.
Known limitations
User groups: Workspace owners can only configure connector availability on a workspace- or user-level, not through user groups. This functionality is coming soon!
