Connect your Lexware Office account to your smarta profile so that smarta can retrieve your documents directly from Lexware Office.
Please note the following:
Only documents are imported from Lexware Office – no bank or account transactions are transferred.
Notes or any other additional information from Lexware are not imported.
Only documents that are marked as paid in Lexware or assigned to a payment are retrieved.
smarta then matches these documents to the corresponding bank transactions within your smarta profile.
This means that the matching of documents to your bank transactions does not happen in Lexware, but in smarta.
Automatic matching is only possible if:
the document has been imported from Lexware, and
the corresponding bank transaction already exists in smarta.
If you have connected a bank account in Lexware that is not connected in smarta, the receipts linked to those transactions cannot be imported at the moment. For these cases, you will need to create an external transaction in smarta so the receipt can be matched correctly.

How to connect your Lexware Office account
If you want to link your Lexware Office account with your smarta profile, you need the Lexware Office XL version.
Only this version gives you access to the Public API, which is required for the integration.

Step 1: Create an API key in Lexware Office
Log in to your Lexware Office account.
Go to the Public API management via the following link:
Click on the green button „API-Schlüssel erstellen“ (Create API key).
Choose whether you want to create a key with all permissions or with individual permissions.
Enter a name, e.g. “smarta Integration”, and check the box to agree to the terms of use.
Click on "API-Schlüssel erstellen“ (Create API key).
Copy the key immediately and keep it safe. Once you close the window, it cannot be displayed again.
Step 2: Enter the API key in your smarta profile
Log in to the smarta WebApp.
Click on Profile and go to the section Accounting connections.
Select “Connect” to link your Lexware Office account.
You will automatically be redirected to the API key input screen.
Enter the API key you created earlier into the field “Enter API Key here”.
Click on “Connect”.
Your Lexware Office account is now successfully connected. We will automatically import the available documents for all tax years that are not yet closed.
Step 3: Set up a tax advisor access for smarta
To ensure we can give you the best possible support with the integration and access your Lexware account if needed, please also set up an advisor access for us.
Here’s how:
Open Lexware Office and go to “Einstellungen > Benutzer” (Settings > Users)
Click on “+ Steuerberater anlegen” (Add tax advisor).
A form with a prefilled invitation text will open.
Enter the following details:
Anrede: beliebig (Salutation: optional)
Name: smarta Steuerberatungsgesellschaft
E-Mail-Adresse: lexware@smarta-steuern.de
Click on “Einladung versenden” (Send invitation).
As long as we haven’t accepted the invitation yet, you’ll find it listed under “Noch nicht bestätigte Benutzer” (Not yet confirmed users).
Once we’ve accepted the invitation, you’ll find us under “Steuerberater-Zugänge” (Tax advisor access).
Connection status in your smarta profile
In your profile, under Accounting connections, you will find different status messages that show you the current state of the integration:
No Connection
If no Lexware account is connected yet, you can create one via “+ Connect” – provided you are using the Lexware Office XL version.
Activate Connection
This status is shown when you have started the connection process but have not yet completed it.
Simply click on “Activate Connection” to continue and proceed to the API key input screen.
Active (Connection Successful)
When your Lexware account is successfully connected, you will see the status “Active” (in green) in your profile. In addition, a banner will appear confirming that the connection has been successfully established.
Connection Failed
If the connection could not be established, this will be displayed both in the Accounting connections section and in the banner.
In this case, click on “Contact Support” so we can look into the issue.

Where possible, we will take over all receipts from the last tax year still open with us.
An open tax year is any tax year
for which we have been commissioned to prepare tax returns and
for which the tax returns have not yet been prepared.
Receipts from these periods are automatically taken into account and transferred to our system.

Only documents that are linked to a transaction in Lexware Office and therefore marked as paid are synchronized.
Invoices that have been created in Lexware Office but not assigned to a payment are not transferred.

Documents are synchronized automatically once a day.
If you add or change a document today, it will usually be transferred to your smarta profile the next day. New and updated documents are automatically recognized, imported, and—if possible—assigned directly to a matching transaction.
If automatic assignment is not possible, our team will check the receipt manually. This may cause delays in individual cases.

Lexware API keys are valid for a maximum of 24 months. In the Public API management you can either create a new key or extend the validity period.
