Salary automation

The Salary Automation feature is designed to simplify and standardize how salary rates are applied across employees. It provides a scalable way to maintain accurate salary data by allowing configuration of automated salary rules, reducing the need for manual contract updates when salary conditions change.

Key capabilities

  • Define rules that apply to specific title.

  • Support for multiple salary rates within the same rule based on seniority, age, and effective Dates.

  • Choose between "Dynamic" and "Manual" salary assignment at the contract level.

  • Automatic tracking of current, past, and future salary rates pr. employee.


Rule structure

A Salary Automation Rule consists of:

1. Title applicability

  • Each rule must be linked to a specific title.

2. Cases (sub conditions)

  • A rule may contain one or more cases.

  • Each case defines the salary conditions that apply for a given scenario.


Effective period

  • Start date (required):
    Indicates when the salary rate becomes valid.

  • End Date (optional):
    Defines the end of the validity period. Leave blank if the rate should apply indefinitely or until superseded.


Employment duration (seniority based conditions)

Used when salary varies based on months of employment, similar to vacation entitlements.

  • From / To:
    Indicates how long the employee must have been employed (based on Seniority Start Date from General Settings).

    Leave "to" blank if the rate should apply for indefinitely seniority (nothing else follows.

  • Example (DK Student Agreement):

    • Employee X (12 months): 12,000 DKK/month

    • Employee Y (18 months): 12,500 DKK/month

    • Employee Z (24 months): 13,000 DKK/month

    • All effective from 1st May 2023 under the same rule, but differentiated by seniority.


Age based conditions

  • From Age / To Age:
    Enables setting age-dependent salary rates.

  • Example (SE Age-Based Rules):

    • 16 years old: 100 SEK/hour

    • 17 years old: 110 SEK/hour

    • Effective from birthdate-based age transition


Supported fields

Salary Automation supports:

  • Standard salary fields:

    • Pr. hour or per month, based on title settings.

  • Extra salary fields:

    • Enabled via General Settings.


Salary mode on contract

When assigning a contract for a title with a salary automation rule:

  • Dynamic:

    • Salary field is automatically set and adjusted based on the rule

    • Tooltip shows:

      • Current rate

      • Past rates (with dates)

      • Future rates (with start dates)

      • Data is specific pr. employee (e.g., if based on their seniority)

    • No need to update contracts when the salary rate changes

  • Manual:

    • A custom value is entered

    • The field does not follow the automation rule

    • Tooltip and tracking are disabled
