How to Create Efficacy Audit Rooms

Efficacy audits are not like NSOC Technical audits: we don’t have the same questions being asked of room after room. Instead, we have questions being asked of the area as a whole.

So for Efficacy audits, a Functional Area does not need to have all the rooms listed. Instead, it just needs a single ‘room’ which will stand for the area as a whole, enabling all the questions to be asked just once.

We could achieve this simply by picking a room from the area at random, and making that the only room in the area in the Efficacy category. This will work, but it is not ideal, because the name of the room will appear on the report. This will make it look as though the audit was carried out on that room alone, rather than on the whole area.

A better way is to create a room in your locations which will be used purely for the purposes of the Efficacy audit. That way, we can call the room what we like, e.g. ‘Ward 1 Efficacy Audit’ – and this is what it will be called on reports.

This Guide shows you how to do this. NB: this can only be done in the Micad Audit system if it is not synced to a Micad IPR system.

1. Create your new ‘room’. Navigate to Manage locations here:

Then use the + signs to expand the Region where your Functional Area is, then the Site, then the Building:

Once you have reached the correct Floor for your Functional Area, click on the Floor and select ‘Add a sub location’:

You will need to enter both a name and a code for the new ‘room’, and the code will need to be unique. If you enter one which is already in use, the system will tell you and you will need to try a different one.

2. Give the new ‘room’ to the correct Functional Area in the Efficacy category. To do this, go to Configure Efficacy Locations here:

Use the location filters at the top to select the correct Building and Floor:

Then select

from the menu.

On the next screen, if you have not yet created the Functional Area in the Efficacy category, you can do so by clicking ‘Add an Efficacy Functional area’. Once you have done this, click on the number 0 in the column headed ‘Internal spaces’:

This will bring up a list of all the rooms on that Floor, among which you will see your new room (usually at the bottom). Tick it and click Submit:

If you find other rooms already ticked, untick them at the same time, leaving just your one new room.

3. Give the new room a risk level and audit template. This is much easier to do now that you have put it in a Functional Area, because you can use the Functional Area to look for it.

Go back to Configure Efficacy locations, but this time select

from the menu. Then use the Functional Area dropdown to select the correct area:

This should leave you with just the one room; click the 1 in the Internal spaces column.

On the next screen, you will see that your new room currently has no risk level and no element template assigned:

The Risk level can be assigned by clicking on the word ‘None’ and selecting the correct one (in the Efficacy category, this is likely to be a generic ‘Efficacy Risk’).

The Room element template can be selected by clicking Edit at the right hand-end of the row.

Your area is now ready to receive an Efficacy audit.
