How to Create a New Functional Area

Note: this Guide uses the NSOC category as an example, however, the same process applies to all audit categories

When you have a new Functional Area to put on Micad Audit, the first question is: are the rooms in this area on the Audit system yet? If the rooms used to belong to another Functional Area, then they are. If they’ve never belonged to a Functional Area before – for instance, if they’re in a brand new building – then they might not be.

This Guide does not cover the process of adding rooms into the Micad Audit system. For help with that, please see the Micad Audit Guide How to Add, Edit, Archive or Delete Locations – Micad (zendesk.com). Note that if you have Micad IPR and your Audit system is synced to your IPR, then new locations can only be added from within your IPR. You would need to contact your organisation’s IPR Admin and ask them to add the new rooms. Once they have done this, the sync will feed them through to Audit automatically.

Once the new rooms have been added to Audit in whatever way is appropriate for you, then follow the steps below.

1. Start by navigating to your Configure category Locations page:

Then use these filters to select the site and building where your Functional Area is located:

When you have done this, select

.

2. You will see a list of just those Functional areas which are located in the building you have selected. To create your new one, click Add a Functional area here:

You will then see a popup box where you can enter the name of the new area, plus a description if you wish. Then click Submit.

3. Your new area will now be added to the list. Next, you need to give it its rooms. Click on the 0 in the Internal spaces column here:

If you have not previously selected a floor level, you will now see a popup box with a list of all the floors in the building you have selected. You can add an entire floor to your Functional Area by ticking its box here:

Or, to add just some of the rooms on a floor, use the expand (+) buttons to open up the room list, then tick all the rooms that belong to the new Functional Area. When you have finished, click Submit. Your new Functional Area is now populated with rooms.

NB: if the rooms in your new Functional Area are themselves brand new, it’s likely they have never been given element templates or risk levels in the Audit system. This will need to be done before they can be audited. Please see these guides: How to Change a Room's Template – Micad (zendesk.com) and How to Change the Risk Level of a Functional Area or Room – Micad (zendesk.com). Note that even if the rooms are not brand new, if the area has changed use, the room templates are still likely to need changing, and the risk level may have changed too.
