How to manage an Order

An order is an element of a route that groups together single or multiple addresses for a visit or pick-up/delivery destinations. Single or multiple orders can be included in a route, depending on business needs and processes.

The platform supports order reassignment between routes’ vehicles/drivers, so if a group of addresses needs to be reassigned to another route, it is easier to perform bulk reassignment of all addresses in order by performing desired actions to a whole order.

📘 When a route is being optimized, addresses from all orders are considered for optimization, so the sequence of addresses on a route will contain addresses from all its orders. However, the sequence of pick-ups and deliveries is managed in a way that pick-ups for an order are always performed earlier than the deliveries for the same order.


Add a New Order

There are several ways to create an order.

Option 1: In the route

In the Route planning tab, expand the route and click Add Address to add a visit order.

Option 2: Bellow the route

Click the icon below the route name and choose the type of order you would like to add.

Option 3: Use buttons at the top

Click the VISIT ORDER or PICK-UP AND DELIVERY ORDER at the top right corner.


Depending on the way the order has been created, the assignment of the driver/vehicle could be filled automatically. However, all the fields in the form of a new order are manageable and you can switch selections if necessary.

📘 Order without assigned driver/vehicle or route will appear in the Unassigned orders tab.


Visit Order

An order that doesn't imply any pick-ups before the delivery is made. No cargo weight calculations are considered. It must contain at least one visit address and up to 100 addresses can be added.

Visit orders can be used when:

  • No pick-ups are needed on the route, i.e., the vehicle is loaded at the base/depot before the route begins;

  • There is no cargo to be delivered (i.e., for courier services);

  • Cargo’s weight is insignificant and/or doesn't impact the weight capability of the vehicle.

Visit order is depicted by the icon.

Order without assigned driver/vehicle will appear in the Unassigned orders tab.

Pick-up/Delivery Order

An order that implies a pick-up on a route before the delivery destination can be reached. This type of order shall be used in case its necessary to pick up the cargo on a route from a particular destination prior to reaching the address of cargo delivery on a route.

When a route containing pick-up and delivery orders is optimized, a dependency between a pick-up and delivery will be considered to ensure that pick-ups for a single order are planned before deliveries within the same order. The platform also considers weight and other parameter limits set up for a vehicle and specified for pick-ups and deliveries to ensure the route is optimized considering the loading capacity of the vehicle.

Pick-up and delivery orders must contain at least one pick-up address and at least one delivery address. Up to 100 addresses in total can be added.

Fill Out the Order

The functionality of pick-up/delivery and visit order creation is identical. The platform offers a user for a pick-up/delivery order to create:

  • Pick-up address;

  • Delivery address.

Add one of the order types and fill out the necessary information.

Order ID or name. By default, the platform automatically assigns a counting number of an order, it can be modified.

Order assignment. If an order is created for a specific driver/vehicle, the assignment will be filled out automatically. Order can be reassigned by clicking inside the field.

If another vehicle/driver is selected, the order will appear in the list of unassigned orders or routes for the selected vehicle/driver.

If you erase an existing value without choosing a new one, the order will appear in the Unassigned orders tab.

Route selection. Choose to which route the order will belong. If the order is created under a specific route the field will be already filled out.

Order priority. Set up a priority for the order. It will be further used for the route optimization algorithm. By default, medium priority is assigned to an order.

Order price. If necessary enter the financial value of the order. This value will be considered when calculating route costs.

Address. At least one address must be entered for an order, however, an order may contain multiple addresses. It is up to your preferences whether to maintain a separate order for each address on the route or to group multiple addresses into a single order.

If My clients information is maintained, start typing the name of the client in the address field. Relevant search results will be displayed in the drop-down list.

Instead of entering the address manually, point the location on a map. The address will appear in the list of order addresses.

Manually reorder the addresses, if necessary, by clicking the icon in the address line and dragging and dropping the address into the desired position.

Add additional information to each of the addresses by clicking on the address area in the list of addresses.

📘 This type of reordering serves for visual observing of navigation between addresses in the order and will not impact further route planning and/or optimization.

Delete an address from the list by clicking the icon.

📘 The default navigation method (with no vehicle or navigation settings applied) is used in the order creation window. Visual navigation is only informative. A precise navigation display on the map will be visible when an order is saved and added to the route.

Save order. The option becomes active only when at least one address is added to the order. The order will appear in the relevant section based on the information entered in the form.


Assign Order to a Route

If an order has been associated with a particular route during the order creation/editing process, it will be included in a route and will be visible in the list of route addresses under the route planning tab.

If an order hasn't been associated with a vehicle/driver and/or a route, it will be visible in the list of orders under the Unassigned orders tab.

The assignment can be done in 2 ways:

Option 1: Edit the order

Click on the order, then EDIT, choose the assignment and save changes.

Option 2: From the Unassigned route

Mark one of the orders and click ASSIGN ORDER TO. The additional window will open. Choose the driver/vehicle, the route and click ASSIGN.


Unassign Order

Open the Route planning tab and find the order you want to unassign. Click on the menu on the right and choose Unassign order.

The order will be moved to the Unassigned orders tab.

The view of unassigned orders can be modified to display different columns. Click the settings button and enable the necessary columns.

📘 You can only unassign orders with no addresses marked as 'Started'.


Edit or Delete Order

The assigned orders can be edited or deleted in the Route planning tab using the menu on the right of the route row.

Unassigned orders can be edited or deleted from the Unassigned orders tab.

During the editing, you can change the assigned driver, change the route and add or delete addresses.

📘 It's possible to edit an order only until all addresses in the order have been processed. Otherwise, a new order has to be created for the desired route.
